Power BI export to PowerPoint: from report pages to slides
Export to PowerPoint in Power BI builds a slide deck from a report, with one slide for each report page. Every slide holds a high-resolution image of the page, plus a link back to the live report. So presenters get a deck quickly, but the pictures cannot change during the meeting. This guide covers the steps, the options and a live alternative.
- One slide per page
- Images, not live data
- Link back to report

What does Power BI export to PowerPoint create?
The feature belongs to the Power BI service. It reads the report and writes a PowerPoint file, where each report page arrives as a single picture on its own slide.
A cover slide comes first. Microsoft says it shows the report name and a View in Power BI link. It also records when the data last refreshed and when the download happened, in UTC. Therefore an audience can judge how current the figures are.
Accessibility gets some help as well. The export adds alt text for the visuals on each slide. Still, a picture of a chart is harder to follow than a well-built report, so keep chart titles clear.

Steps for Power BI export to PowerPoint in the service
The whole job takes a few clicks once the report looks right on screen.
Set up the view
First, apply the filters and slicers your audience should see. The export can keep them.
Open Export
Then select Export in the menu bar and choose PowerPoint. A dialog named Export to PowerPoint opens.
Choose the options
Next, pick Current values or Default values. You can also exclude hidden report tabs or export only the current page.
Export and open the deck
Finally, select Export and wait for the download. After that, open the file and review every slide before the meeting.
Three ways to bring a report into a presentation
An image deck is one choice among several, so pick by what the meeting needs.
Exported image deck
Each page becomes a static slide. It suits a record of the numbers on a given day, because nothing in it changes later.
Live page in a slide
The Power BI add-in for PowerPoint embeds a live report page. As a result, a presenter can work with the report during the talk.
One visual as an image
Copy as image captures a single visual. Then you paste it into a slide that you designed yourself.
Which limits affect Power BI export to PowerPoint?
Some visuals do not export. Microsoft's list includes ArcGIS maps, Power Apps visuals and custom visuals that lack its certification. That part of the slide may then appear blank.
Appearance can shift too. The export replaces custom fonts with a default font, and background images may crop. Visuals that scroll show only their first view, while drilled-down charts return to the top level.
Size and time also count. Microsoft documents a limit on pages and on report size, and a very long export fails. Also, people outside your organization cannot export a report that you shared with them. For a printable file instead of slides, see Power BI export to PDF, and for decks that must go out on a schedule, see Power BI report automation.
A short checklist before sharing exported slides
Run through these six points, because a slide cannot fix itself in the room.
- Filters match the story you tell
- Every visual appears on its slide
- Fonts and spacing still look right
- Tables show the rows you need
- The refresh time is recent enough
- Confidential pages stay out of the deck
Power BI PowerPoint decks: questions from presenters
Can Power BI export to PowerPoint keep slides interactive?
No. The export produces images, so nothing on a slide responds to a click. If you need interaction, use the Power BI add-in for PowerPoint instead. It places a live report page inside a slide, and people who open the deck need permission to view that report. Many presenters keep both: images as a record and one live slide for questions.
Why is the PowerPoint option missing from my Power BI menu?
An administrator may have disabled it. A tenant setting controls exports to PowerPoint and PDF, and some organizations switch it off. The option also does not exist in Power BI Desktop, since Microsoft documents it for the service only. So open the report in the browser first. If Export still lacks PowerPoint, ask your tenant administrator.
Do Power BI slides in PowerPoint update with new data?
It does not. The slides hold pictures taken at export time, and the cover slide states when the data last refreshed. Therefore a deck made on Monday still shows Monday's numbers on Friday. Export again before each meeting, or embed a live page with the add-in when the audience expects current figures.
Will my filters and slicers appear on the slides?
Yes, if you choose Current values in the dialog. The slides then match what you see, including slicer selections. Default values exports the report as its author saved it. However, Microsoft notes that filters set through the URL do not apply, and drilled-down visuals export at their default level.
Can you make our board reports easier to present?
Yes. Power BI Agency designs report pages that read well on a slide and on a screen. We work online in your own Microsoft tenant and show progress in weekly demos.
