Power BI Embedded analytics inside your application
Power BI Embedded puts interactive reports inside your own application, under your sign-in and your branding. Customers see analytics without a Power BI account, and each one sees only their own data. We settle the architecture first: tenancy, identity and capacity. Then we build, test and hand over the integration.
- App-owns-data architecture
- Per-customer data isolation
- SSO and branding

Which Power BI embedding pattern fits your product?
Microsoft offers two patterns. Embed for your organization, or user owns data, suits internal portals. There every viewer has a Power BI license and signs in with Microsoft Entra ID. It fits staff portals and intranets, where everyone already has a work account.
Embed for your customers, or app owns data, suits software products. Your application signs in to Power BI with a service principal and requests an embed token. As a result, viewers never see a Power BI sign-in, and they need no Power BI license.
For most SaaS and portal projects, app owns data is the better fit. Your application controls who sees what. Also, the experience matches your own branding, from colors to fonts. Capacity then comes from a Fabric F SKU or a Power BI Embedded A SKU in Azure.

Architecture decisions we settle early
These three choices are hard to change later, so they come first in every project.
Tenant isolation model
One shared model with row-level security, or a workspace per customer, chosen by size, data rules and growth.
Identity and tokens
A service principal for the app, and embed tokens that carry each user's identity and roles.
Capacity planning
Sizing based on report load and peak usage, with a plan to scale as customers join.
How do you keep one customer's data from another?
The most common pattern uses one shared model with row-level security. Your application passes the customer's identity inside the embed token. Then the model filters every query to that customer's rows. So one model serves many customers without mixing their data.
However, some products need stronger separation, for example for contract or regulatory reasons. In that case, each customer gets its own workspace and semantic model, and automation keeps them in step. The trade-off is more moving parts to deploy. Therefore we compare both options against your growth plans before the build starts.
For the identity setup, see power bi service principal. Automation runs through the power bi rest api. If your company sells software, power bi for saas companies covers the wider analytics picture.
How a Power BI Embedded project runs
A small proof of concept comes before the full build, so risks surface early.
Technical discovery
We review your application stack, identity setup, data sources and tenancy needs.
Proof of concept
One report embedded in a test build of your app, with tokens and row-level security working.
Production build
Full reports, deployment pipelines, capacity setup and error handling for your live environment.
Onboarding and handover
Finally, your developers receive code walkthroughs and documentation in live online sessions.
Features worth adding to Power BI Embedded reports
In addition, these features make embedded reports feel like part of your product.
- Single sign-on through your existing identity
- Your logo, colors and fonts in every report
- Customer-level and user-level data filtering
- Export controls to protect sensitive data
- Report updates promoted with deployment pipelines
- Usage tracking to see which reports customers open
Power BI Embedded FAQ
Do our customers need Power BI licenses?
Not with the app-owns-data pattern. Your application authenticates to Power BI, and viewers see reports through your own sign-in. The capacity carries the cost instead of per-user licenses. Developers who build the reports still need Pro or Premium Per User licenses.
Can each customer see only their own data in Power BI?
Yes. Row-level security filters each query using the identity your application passes in the embed token. For stronger separation, each customer can have a separate workspace and model. Before launch, we also test isolation with separate test accounts. Each account must see only its own rows, and the results go into the handover notes.
Which application stacks can you work with?
The Power BI JavaScript client works with any web stack, including React, Angular and plain JavaScript. Token generation runs on your back end, for example in .NET, Node.js or Python. Your developers keep ownership of the code, and we document every part of it. So a new developer can pick it up later.
How is Power BI Embedded capacity sized?
By report load and peak usage, not by customer count alone. We test realistic reports under load during the proof of concept. Then we recommend a starting size and a plan to scale. That way, cost grows only when real usage grows. We do not resell capacity or licenses, so the advice stays neutral.
Who maintains the integration after launch?
Your developers, with our documentation and code walkthroughs. Deployment pipelines move report changes from test to production. We work inside your tenant through accounts you control and do not copy data to our own systems. Further help stays available if you need it.
