A Power BI proof of concept on your own data, not a demo set
A Power BI proof of concept is a small, time-boxed build that tests whether Power BI can answer one real business question with your own data. It trades breadth for evidence: one source or two, one model, a few pages. Power BI Agency builds it inside your tenant, agrees success criteria in writing first and shows progress at a weekly demo.
- One question, real data
- Success criteria in writing
- Kept small on purpose

What is a Power BI proof of concept meant to prove?
A trial should settle a doubt. For example, can the tool connect to the ERP? Will finance accept the numbers? Does a page load fast enough with a full year of rows? Each doubt becomes a test.
So the first task is to write those doubts down. Microsoft's own migration guidance describes this stage as a way to validate assumptions and reduce risk. We follow the same idea, in plain terms.
A trial is not a small version of the final system. Instead it is an experiment with a clear pass mark. Because the aim is learning, a result that says no is still a useful result. For example, the test might rebuild one Power BI variance analysis page from real ledger data.

What the trial build includes
A pilot stays narrow, but it still touches every layer once.
A chosen question
One business question anchors the work, such as margin by product line for the last year.
Live source connection
We connect to the real system, since sample files hide the problems you most need to see.
A small model
A few tables in a star shape hold the data. Then measures define each number once.
Working pages
Two or three pages answer the question, so reviewers judge something they can click.
Reconciliation
Totals face a check against a trusted report, because trust decides whether people adopt the tool.
Findings note
A short document records what worked, what did not and what a full build would need.
When is a proof of concept the right first step in Power BI?
A pilot makes sense when the stakes are high and the unknowns are real. Perhaps leadership has not yet chosen a BI tool. Or the data sits in an old system that nobody has connected before.
It also helps win support. A working page with the company's own figures persuades far better than a slide deck. As a result, budget talks become easier.
However, some teams do not need one. If you already run Power BI and simply want more reports, a trial adds a step without adding knowledge. We say so on the assessment call.
Questions a Power BI proof of concept can settle
Pick the few that matter most, since a trial that tests everything proves nothing.
- Can we connect to our core system?
- Do the totals match finance's figures?
- Are pages fast with full data volumes?
- Can access rules hide rows by region?
- Will managers use it without training?
- Which license type fits our sharing plan?
How our Power BI proof of concept runs
Four stages keep the pilot short and its outcome clear.
Define success
First we agree the question and the pass criteria, and the written quote records both.
Connect and model
We then load the chosen sources into a small model inside your own tenant.
Build the proof pages
Pages take shape quickly, and a weekly demo shows them to the people who will judge the result.
Review the concept
Finally, we compare results with the criteria and hand over the findings note.
Proof of concept questions we answer often
Can a proof of concept become the real solution?
Sometimes it can grow into one. We build the model with sound structure, so it does not have to go in the bin. However, a pilot skips things a production system needs, such as full security roles and documentation. The findings note lists those gaps, and a later quote covers them if you continue.
What licenses does a Power BI pilot need?
It needs very little. Power BI Desktop is a free download, and sharing a few pages requires suitable licenses for the reviewers. Because license terms change, we point you to Microsoft's current documentation. We do not resell licenses, so you buy any that you need directly or through your usual reseller.
What if the proof shows Power BI is not a fit?
Then the pilot has done its job. You learn that before a large spend, and the findings note explains why. For example, a source may lack an access route, or a requirement may suit a different kind of tool. We state that plainly instead of bending the result.
How much of our team's time does a concept build take?
It takes less than people expect. We need someone who knows the source data and someone who can judge the numbers. They join the scoping call and the weekly demos. Between those meetings, questions go by message. So the pilot runs beside normal work instead of replacing it.
Who runs the pilot, and how do we start?
Consultants at Power BI Agency run it. We are a small, experienced team and a division of Sataware Technologies, independent of Microsoft. The service is online. Book the free thirty minute assessment or call (480) 485-7373, and we respond within 2 hours.
