Statements that tie out

Power BI financial reporting that reconciles to the ledger

Power BI financial reporting turns general ledger data into a profit and loss, balance sheet and cash view that controllers can defend. Finance will not trust a number it cannot tie back to the trial balance. So we map your chart of accounts, build sign rules and the account hierarchy into the model, and reconcile each statement before anyone sees a chart.

  • Paginated board packs
  • Budget versus actual

Why is ledger data harder to model than it looks?

A general ledger is not a sales table. Revenue sits as a credit and costs as debits, so a naive sum returns figures with the wrong sign. Accounts also roll up through several levels of hierarchy, often with exceptions only the controller remembers. A report that ignores these details goes wrong in ways that take weeks to spot.

Balance sheet accounts behave differently again. You cannot add a closing cash balance across months. Instead it needs a semi-additive DAX measure that picks the last period in the selection. Fiscal years that start outside January, 4-4-5 calendars and intercompany eliminations each need their own handling too.

We deal with all of this once, in a documented semantic model. Then every report on top inherits the same logic and the same totals.

Finance statements we build and tie out

Each view gets checked against your ledger totals before anyone outside finance sees it.

Profit and loss

Month, quarter-to-date and year-to-date results with variance to budget, forecast and prior year at every level.

Balance sheet

Closing balances by period with correct semi-additive logic, plus movement analysis for working capital lines.

Cash position

Opening, inflows, outflows and closing cash by entity and bank account, drawn from ledger or bank files.

Budget and forecast versions

Several scenarios side by side, loaded from the planning workbooks your team already maintains.

Cost center packs

Budget holders see their own spend against plan, while row-level security keeps other departments private.

Multi-entity roll-ups

Management reporting across subsidiaries and currencies. This is reporting, not statutory consolidation or accounting advice.

How Power BI financial reporting gets tied out first

Every figure proves itself against the source before design work starts.

  1. Map the chart of accounts

We agree the reporting hierarchy, sign rules and account groupings with your controller, in writing.

  2. Load and tie out

We compare model totals with the trial balance for several closed periods and explain every difference.

  3. Build the statements

Matrix visuals for interactive analysis, plus paginated reports for a fixed-layout pack that prints cleanly.

  4. Hand over the close routine

Your team gets a refresh checklist and a reconciliation page to run at each month end, with no need for us.

Which financial statement should Power BI show first?

Start with the statement people open most. For most companies that is the income statement, so a single power bi profit and loss report often makes the best first release. It proves the account mapping and sign rules, and every later statement reuses that work.

The balance sheet comes next, because it reuses the same hierarchy but adds semi-additive measures. Cash usually follows last, since it often needs bank files or a treasury source that takes longer to agree. Budget variance can join at any stage, as long as the planning workbook uses the same account codes.

This page covers the statements themselves and how they reconcile. For the wider picture of a finance department, including close routines, controls and audiences, see power bi for finance teams.

Ledger and planning sources for Power BI financial reporting

We work with the systems you already have instead of asking you to change them.

  • Dynamics 365 Business Central through its Power BI connector
  • Dynamics 365 Finance through Azure Synapse Link or Link to Microsoft Fabric
  • NetSuite, Sage Intacct or QuickBooks through exports or APIs
  • Budget and forecast workbooks in SharePoint or OneDrive
  • Ledger extracts in Azure SQL or a Fabric lakehouse
  • Bank statement files for a daily cash view

Power BI financial reporting questions from controllers

Will Power BI reporting replace our month-end spreadsheets?

For recurring management reporting, usually yes. Many teams still keep Excel for one-off analysis, and that works well. Analyze in Excel lets an analyst build a pivot table on the same governed model. As a result, the spreadsheet and the report show the same totals instead of drifting apart.

Can Power BI produce a printable financial board pack?

Yes. Paginated reports give a fixed, page-perfect layout that exports to PDF. A subscription can then send the pack to the board after each close. Meanwhile the interactive pages stay available for anyone who wants to drill into a variance before the meeting.

Do you give accounting advice?

No. We build reporting on top of the numbers your finance team owns. Accounting treatment, policy and statutory consolidation stay with your accountants and auditors. However, we document every mapping and rule in the model, so your auditors can see exactly how each reported figure relates to the ledger.

How do you protect payroll data in Power BI reporting?

We work inside your tenant through accounts you control and do not copy data to our own systems. In the model, row-level security limits each budget holder to their own departments. Object-level security can also hide salary columns from everyone outside an approved group, so the detail never shows in their reports.

Can financial reporting in Power BI follow our fiscal calendar?

Yes. A date table marked as such in the model carries your fiscal year, periods and any 4-4-5 pattern. Time intelligence measures then follow your calendar rather than January to December. As a result, year-to-date and prior-period figures match what finance reports at each close.
