Paginated reports

Power BI paginated reports that print exactly as designed

Power BI paginated reports are documents laid out to fit a printed page, so a long table flows across as many pages as it needs. They suit invoices, statements, regulatory forms and detailed lists that people export to PDF or Excel. One of our consultants designs the layout in Power BI Report Builder, connects it to your data and sets up delivery by email.

  • Pixel-exact page layout
  • PDF and Excel exports
  • Email delivery on schedule

What are Power BI paginated reports used for?

An interactive dashboard answers a question on screen. A paginated document, however, answers a different need. Someone wants every row, in a fixed layout, on paper or in a PDF. Think of a customer statement, a packing list or a monthly ledger.

These documents control each detail of the page. Headers repeat, page numbers count up, and a table can run for hundreds of pages without cutting a row in half. Because the layout stays exact, the output looks the same every time it runs.

Parameters make one design serve many readers. For example, a single statement layout can run once per customer or per region. Then a subscription sends each person the right file, so nobody has to export anything by hand. For example, a monthly Power BI timesheet report for each manager is a natural fit.

What we deliver in a Power BI paginated reporting project

Each engagement covers the pieces below, and the written quote lists the ones you need.

Page layout design

We match your existing form or build a new one, with margins, logos and totals placed where your readers expect them.

Data source connection

The design can read a semantic model you already have or query a database directly, so it fits the way your data sits today.

Parameters and filters

Readers pick a date range, a customer or a site. Then the same layout returns only the rows that choice calls for.

Export formats

We test the output in PDF, Excel and Word, because a table that looks fine on screen can still break in a spreadsheet.

Subscriptions by email

Scheduled delivery sends files to named people. As a result, month-end packs arrive without anyone pressing a button.

Notes for your team

Finally, we leave a short guide to the design file, so your own analysts can change a column or a label later.

When should a team choose a paginated layout over a dashboard?

The choice comes down to how people use the output. If they click, filter and explore, an interactive report fits better. But if they print it, file it or send it to a customer, the paginated format wins.

Many companies need both. A sales manager watches a dashboard during the week, and then finance sends a formal statement at month end. Since both can read the same semantic model, the numbers agree across the two.

There is one more case worth a mention. Teams that still run SQL Server Reporting Services often hold years of report designs in the same file format. So those designs can usually move to the Power BI service with modest changes instead of a full rebuild. If you are choosing a tool to build them, see Power BI Report Builder vs Desktop.

Documents that suit Power BI paginated reports

If your team produces any of these by hand today, a fixed layout will save real effort.

  • Customer invoices and account statements
  • Monthly financial packs for the board
  • Regulatory forms with a set layout
  • Packing lists and delivery notes
  • Long transaction listings for audit
  • Price lists exported to PDF

How we build Power BI paginated reports

The work follows four stages, and a demo each week shows the real output.

  1. Collect the samples

First you send the forms you use now, even if they are spreadsheets. We mark every field and where its value comes from.

  2. Draft the layout

Then we build a first version in Report Builder and run it on real data, so spacing problems appear early.

  3. Test every export

We print it, save it as a PDF and open it in Excel. Because each format behaves differently, each one gets its own check.

  4. Publish and schedule

After your sign-off, the file goes to a workspace in your tenant, and subscriptions start sending it on the agreed days.

Paginated reporting questions from finance and operations

Which license do Power BI paginated reports need?

License rules for this feature have changed more than once, so we check the current Microsoft documentation with you before any work starts. In general, the workspace type and each reader's license both matter. We do not resell licenses, so our advice simply points to the option that fits how you share documents.

Can paginated reports use an existing Power BI semantic model?

Yes. Report Builder can connect to a published semantic model, and it can also query sources such as SQL Server directly. Using the shared model has a clear benefit, because the statement and the dashboard then draw on the same measures. As a result, finance and sales stop arguing over two different totals.

What tool do you use to design Power BI reports for print?

We use Power BI Report Builder, a free desktop application from Microsoft. It saves each design as a file that you can store in source control. Since the tool is free, your own analysts can open and edit the same files later without any extra purchase or special setup.

Can one Power BI report layout produce a file for each customer?

Yes. A parameter tells the design which customer to show, and a subscription can run it for a list of values. So one layout yields many files. However, the exact options depend on your license and workspace type, and we confirm them against Microsoft's documentation before we promise a delivery pattern.

Where does the work happen, and who keeps the files?

All of it happens inside your own Microsoft tenant, and you keep every design file. We work remotely. Power BI Agency is a division of Sataware Technologies and is independent of Microsoft. When the project ends, your team holds the files, the notes and full control.
