A Power BI health check that ends in a ranked fix list
A Power BI health check is a short, structured review of how well your reports, models and tenant settings are working today. One of our consultants looks at speed, refresh, security and workspace setup, then ranks what to fix first. The review happens inside your own Microsoft tenant with read access, and the findings arrive as a plain written report.
- Ranked list of fixes
- Read access is enough
- Plain written findings

What does a Power BI health check look at?
Think of it as a service visit for your reporting. Nothing may be broken yet. Still, small faults build up, and a review finds them before they turn into a failed month-end.
The consultant works through a fixed set of areas. First come the semantic models, since most speed problems start there. Then come refresh history, gateways, access rules and the way workspaces hold content.
Each finding gets a severity and a suggested fix. As a result, you leave with an ordered list instead of a vague feeling that things could be better. For example, the check spots a Power BI expense dashboard whose refresh fails every month end.

Six areas every Power BI check-up covers
The same six areas apply to a small team and to a large tenant, only the depth changes.
Model design
We check table layout, relationships and column counts, because a bloated model slows every page.
Measure quality
Costly DAX patterns show up here. Then we note which measures deserve a rewrite.
Report speed
Performance Analyzer in Desktop times each visual, so slow pages have a named cause.
Refresh and gateways
Failed and slow refreshes leave a history. We read it and trace each pattern to a source.
Security and sharing
Row-level roles, workspace access and share links get a review, since leaks often hide there.
Workspace hygiene
Unused reports and duplicate models add clutter. Therefore we list what can retire.
When should a company book a Power BI health check?
Some moments make a review especially useful. For example, a key analyst leaves and nobody else knows the models. A review then documents what exists before the knowledge is gone.
Growth is another trigger. Reports that ran well on a small dataset can crawl once volumes rise. Because the cause is usually structural, extra capacity alone rarely cures it.
A planned change also justifies a look. Before a move to Microsoft Fabric or a license change, it helps to know what you have. Otherwise you carry old faults into the new setup. For a deeper review of report accuracy and use, a Power BI audit is the fuller option.
Warning signs that a Power BI health check picks up early
Any one of these is reason enough to take a closer look.
- Pages take many seconds to respond
- Refresh fails several times a month
- Models grow close to size limits
- Former staff still hold workspace access
- Several copies of one model exist
- Nobody can say who owns a report
How we run the health review
The review follows four stages and needs very little of your team's time.
Assessment call
A free thirty minute call sets the focus. After that a written quote fixes which workspaces are in scope.
Read access
You grant access inside your tenant, so no file leaves your environment during the check.
Power BI review work
The consultant inspects models, refresh logs and settings, and then tests the slowest pages.
Findings walkthrough
Finally, we present the ranked list on a call and answer questions from your team.
Health check questions from Power BI owners
Does a Power BI health check change anything in our tenant?
No. The review is read-only, so reports and models stay exactly as they are. We record what we find and suggest fixes, but we change nothing without a separate agreement. Because of that, a review carries very little risk and needs no change window or sign-off from your release process.
How does a health check differ from a Power BI audit?
The words overlap, and firms use them differently. Here, a health review is the lighter option. It focuses on technical condition and quick wins. A fuller audit also examines governance, ownership and usage in more depth. During the assessment call we ask what worries you, and then we recommend the one that fits.
What do we receive at the end of the check?
You receive a written report in plain language. It lists each finding, explains why it matters and suggests a fix. We also rank the items, so your team knows where to start. After that, a walkthrough call lets people ask questions while the consultant shares a screen.
Can you fix the problems the Power BI check finds?
Yes, if you want that. However, the findings are yours, and your own team can act on them. When you ask us to do the work, we write a separate quote with a fixed scope. Therefore the review never locks you into a larger project with us.
Who performs the review?
A consultant from Power BI Agency performs it. We are a small team and a division of Sataware Technologies, independent of Microsoft. We also do not resell licenses, so our advice on capacity stays neutral. The service runs online. Call (480) 485-7373, and expect a reply within 2 hours.
