Power BI for construction project and cost control
Power BI for construction gives contractors one view of where every job stands before the monthly WIP meeting. It joins accounting, project management and scheduling data. Project managers, estimators and finance then compare budget, committed and actual cost on the same page. Change orders, schedule progress and safety incidents sit beside the cost picture, rather than in spreadsheets merged by hand each month.
- Budget, committed, actual
- Change orders tracked
- WIP by project

What cost picture do contractors actually need?
Actual cost alone tells you what already happened. On a job, the useful number is cost to complete. That means the approved budget plus approved change orders, set against commitments and what has already gone out the door. When those figures live in different systems, margin fade often shows up too late to recover.
So we model the job cost structure your company already uses, by job, phase and cost code. Budget, commitments and actuals then sit in the same view. Pending and approved change orders appear alongside, so a project manager sees the revised contract value as well as the exposure.
Finance gets the same numbers rolled up into work in progress, with over and under billing visible across the whole portfolio.

Construction KPIs worth tracking in Power BI
We agree the list with your operations and finance leads, and these are frequent starting points.
- Budget vs committed vs actual cost by cost code
- Pending and approved change orders by job
- Projected cost at completion and margin fade
- WIP schedule with over and under billing
- Schedule progress against key milestones
- Safety incidents and near misses by project
Power BI pages for the field, the office and owners
The same model serves three very different audiences.
Project managers
One page per job with cost, change orders, open commitments and schedule status, readable on a tablet in the trailer.
Finance and accounting
Portfolio WIP, billing position and subcontractor exposure, reconciled to the accounting system at each close.
Owners and executives
A summary across all active jobs that highlights projects where margin or schedule is slipping.
Why do job cost reports disagree with the field?
The usual cause is timing. A superintendent knows about extra work today, but the change order reaches accounting weeks later. Meanwhile, commitments sit in the project tool while invoices sit in the ledger. Each report is right about its own slice, yet the totals never match.
Cost codes add to the problem. Estimating, project management and accounting often use slightly different breakdowns. Therefore we map them once, so every system reports against the same structure. Pending change orders get their own status, which shows exposure without inflating the approved budget.
Once the model agrees, other views follow quickly. A power bi project management dashboard can track milestones and open items for each job. Meanwhile, a power bi safety dashboard shows incidents and near misses by project and crew.
Connecting jobsite and accounting data in Power BI for construction
Construction data spreads across many tools, so we connect it deliberately.
Review your systems
We look at your accounting or ERP, project tools such as Procore, schedule files and the spreadsheets that fill the gaps.
Align the cost codes
We map job, phase and cost code structures, so every system reports against the same breakdown.
Build the model
Budgets, commitments, actuals, change orders and milestones come together in one semantic model with documented measures.
Roll out by role
Pages for project managers, finance and leadership go through weekly online demos before handover and training.
Power BI for construction: common questions
Can Power BI pull data from Procore for job costing?
Yes, through Procore's API, available third-party integrations or scheduled exports. We check which route suits your account and data at the assessment, rather than assuming a native connector. If the API is the route, a small staging step usually keeps refresh reliable and the history intact.
We still run WIP in Excel. Can that move?
Yes. We rebuild the logic of your WIP schedule in the model and check it against your current workbook for several closed months. Then we keep the layout familiar for its reviewers. So the monthly meeting runs the same way with fewer manual steps.
Can subcontractors or owners see reports?
Only if you choose to share them. Row-level security can limit an outside viewer to a single project. We work inside your own Microsoft tenant through accounts you control, so you decide who gets access and can remove it at any time.
Is Power BI a good fit for specialty contractors too?
Yes. The approach stays the same: cost codes, commitments and progress. However, the KPIs change by trade, for example labor productivity for electrical work or equipment hours for earthwork. So we agree the measures with you rather than applying a fixed template.
Can project managers use Power BI for jobsite checks?
Yes. The Power BI mobile app shows reports on phones and tablets, and we design a phone layout for the job page. Pages stay simple, with large numbers and few clicks, because a project manager in the trailer has little time to hunt for a figure.
