Power BI data modeling that gives every report one set of numbers
Power BI data modeling shapes your source data into one semantic model that every report can share. Facts and dimensions follow a star schema, and measures live in a documented DAX library. Refresh also runs on a schedule your team understands. As a result, two reports never disagree about the same figure.
- Star-schema semantic models
- Documented DAX library

What problems does better Power BI data modeling fix?
Three symptoms usually point to the model rather than the reports. First, totals conflict, because each report carries its own copy of the logic. Second, files grow heavy and slow, since wide flat tables hold far more than they need.
Third, refresh fails often. Each failure then sends an analyst into Power Query to patch a step nobody documented. All three trace back to how tables, relationships and measures were set up.
Fixing the model fixes them at the root. Moreover, every report built later inherits the same clean structure, so the gains last. New analysts also learn one model instead of ten private versions of the truth.

How do we shape Power BI data into a star schema?
We start from the business process, not the source system. Sales orders, invoices or journal lines become fact tables at a grain everyone understands. Customers, products, dates and locations become dimensions with clean keys and friendly names.
Transformation logic lives in Power Query or upstream in a warehouse, not in calculated columns. That keeps the model lighter and easier to trace. It also lets query folding push work back to the source, so refresh runs faster. Measures are explicit DAX, sorted into display folders and named the way your team talks.
For the theory, see power bi star schema. Our guide to the power bi semantic model explains how many reports share one model. When the hard part is complex calculations, power bi dax consulting goes deeper.
Storage choices in Power BI data modeling
The storage mode shapes speed, freshness and cost, so we choose it per table.
Import mode
Data loads into memory for the fastest queries. Most models start here, with scheduled or incremental refresh.
DirectQuery
Queries go to the source each time, for data that must stay current or is too large to import.
Composite and Direct Lake
Mixes imported and live tables, or reads Fabric lakehouse tables directly, when one mode alone does not fit.
Power BI data modeling deliverables you keep
Everything stays in your tenant and is written for your own analysts.
- Published semantic model in a governed workspace
- Diagram of tables, keys and relationships
- DAX measure library with plain-English descriptions
- Power Query steps documented per source
- Incremental or scheduled refresh policy
- Row-level security roles where access differs
Power BI data model work, stage by stage
Each stage ends with a review, so nothing surprises your team at handover.
Source and grain review
We study your sources and agree the grain of each fact table with the people who use it.
Model design
A diagram of facts, dimensions and relationships, reviewed with your team before the build.
Build and validate
Tables and measures go in, and totals get checked against figures your team already trusts.
Publish and document
The model goes live in a governed workspace, with notes on every table and measure.
Power BI data modeling questions
Should we model in Power BI or in a data warehouse?
Often both. Heavy cleaning and history belong upstream, in a warehouse or Fabric lakehouse. The semantic model then adds relationships, measures and security on top. For smaller estates, Power Query inside the model is enough. We recommend a split based on your volumes and team skills.
Can you rebuild a Power BI model without breaking existing reports?
Usually, yes. We keep measure names stable where reports depend on them, and test each report against the new model before switching. Then reports rebind to the new model in a planned order. A short parallel run catches anything we missed. After that, the old model is retired, so nobody builds on it by accident.
Do you use DirectQuery or Import mode?
Import mode by default, because it gives the fastest reports. DirectQuery or a composite model makes sense when data must stay current or is too large to import. If your data lives in Fabric, Direct Lake is another option. We explain the trade-offs for each table.
Will our analysts be able to maintain the model?
That is the goal. The model uses clear names, a documented measure library and simple Power Query steps. Analysts also receive a walkthrough in live online sessions at handover. We show them where each measure lives and how to test a change before they publish it. As a result, they can add measures and tables without calling us.
How does a modeling project start?
With a free 30-minute assessment. One of our consultants replies within 2 hours and looks at your current model and sources. Then you receive a written quote with a fixed scope. We work inside your tenant through accounts you control and do not copy data to our own systems.
