Power BI lineage view: see where every report gets its data

Power BI lineage view is a diagram of a workspace that shows how data moves from its sources to semantic models, reports and dashboards. So one screen answers a question that otherwise takes hours: what depends on what? It helps before a change, during a refresh failure and in an audit. Below is how to open the view, read it and put it to work. In short, open a workspace, switch from list view to lineage view, and select any item to highlight what feeds it and what depends on it.

  • Source to dashboard
  • See what depends on what
  • Check before you change

What does Power BI lineage view show?

The view draws each item in the workspace as a card and connects the cards with arrows. Data sources sit on the left. Then come dataflows and semantic models, and finally reports and dashboards on the right.

Gateways appear as well, so you can see which local sources pass through which gateway. The cards also carry details such as the last refresh time and any endorsement. As a result, a failed refresh stands out at a glance.

Microsoft documents that the view also shows links across workspaces. For example, a report here may read a semantic model that lives elsewhere. That external item appears with a note of where it sits.

How to open and read Power BI lineage view

The view is one click away in any workspace, as long as your role allows it.

  1. Switch the workspace view

First, open the workspace and use the view control near the top right to change from the list to lineage.

  2. Read left to right

Then follow the arrows from sources to reports. Each column is one stage, so the flow of data reads like a sentence.

  3. Highlight one item

After that, select the double-arrow icon on a card. The view then dims everything that does not feed that item or depend on it.

  4. Open the details

Finally, select a card to see more, such as the connection of a data source or the refresh state of a model.

When is the lineage diagram most useful?

The first case is change. Before someone renames a column or retires a model, the diagram shows every report that would break. So the team can warn the owners instead of learning from complaints.

The second case is a fault. When a dashboard shows stale numbers, the arrows lead back to the model and the source behind it. Because refresh times sit on the cards, the broken link is usually easy to find.

Audits are the third case. A reviewer may ask where a figure comes from. While the view does not trace single columns, it does prove which source feeds which report.

Questions the lineage diagram answers quickly

Keep this list near the team, since each item replaces a long hunt through settings pages.

  • Which reports use this semantic model?
  • What sources does this dashboard rely on?
  • Which gateway serves this database?
  • Did any model fail its last refresh?
  • Which items depend on another workspace?
  • Do some semantic models have no reports at all?

Limits of Power BI lineage view and related tools

Access is limited by role. Microsoft documents that Admin, Member and Contributor roles can see the view, while the Viewer role cannot. The article also lists a license requirement, so check it for your setup.

The view works at item level. It shows that a report uses a model, but not which column feeds which visual. For that depth, teams use other tools or document the model by hand.

A related feature is impact analysis. From a semantic model, it lists the reports and dashboards that depend on it across workspaces, and it can notify their contacts. Therefore use both together before a breaking change.

Questions about Power BI lineage view

Who can see Power BI lineage view in a workspace?

Microsoft documents that you need the Admin, Member or Contributor role in the workspace. People with only the Viewer role cannot open it. The article also mentions license requirements. Because those details can change, confirm them on Microsoft Learn. If the option is missing for you, the role is the first thing to check.

Does lineage view show column-level lineage?

No. It works at the level of items: sources, dataflows, semantic models, reports and dashboards. So it tells you that a report depends on a model, but not which fields it uses. For column detail, review the model itself or use the impact analysis and documentation tools that your team prefers.

Can Power BI lineage view cross workspaces?

Partly. The view belongs to one workspace, but it displays items from other workspaces when something here depends on them. For example, a shared semantic model from a central workspace appears as an external item. To see everything that depends on that model, open impact analysis from the model instead.

How does lineage help with a failed refresh?

It shortens the search. The cards show refresh status, so you can see which model failed. Then the arrows point back to the source and the gateway involved. As a result, you know whether the fault sits in a database, a gateway or the model. After that, the refresh history gives the exact error.

Can you map our data estate for us?

Yes. Power BI Agency documents sources, models and reports, and tidies workspaces where the lineage shows tangles. We are a small team, a division of Sataware Technologies, and independent of Microsoft. The work runs online inside your own tenant. Book a free 30-minute assessment or call (480) 485-7373.
