Power BI for government agencies, cities and counties
Power BI for government helps public bodies track budgets, service delivery and program results in plain view. Finance, permitting and service request data join in one model, so department heads and elected officials read the same figures. Our consultants do the work inside your own Microsoft tenant. Your IT office keeps control of accounts, data and access from start to finish.
- Budget against actuals
- Service level tracking
- Accessible report design

What does Power BI for government make possible?
Public agencies collect data for every permit, call, payment and inspection. However, that data often stays inside the system that captured it. A council member who asks a simple question may wait a week while staff gather exports.
Reporting on one model shortens that wait. Budget lines, work orders and case records load on a schedule. Then a director sees spend against budget by fund, or response times by district, without a special request. Because every page uses the same definitions, the finance office and the department agree.
Openness is another reason. Residents expect to see how money and services perform. A clear dashboard answers many common questions before they become formal records requests.

Dashboards public sector teams often need
Each of these serves a different office, yet they can all share one governed model.
Budget and spend
Follow spending against the adopted budget by fund, department and account, so overruns surface mid-year.
Service requests
Count requests by type and district. Then track how long each category takes to close.
Permits and licensing
See applications received, approved and pending, because long queues frustrate residents and builders.
Capital projects
Compare each project's spend and schedule with its plan, and also flag the ones that drift.
Workforce
Show headcount, vacancies and overtime by department when leaders plan the next budget.
Grant compliance
Track grant funds from receipt to spend, since each funder sets its own reporting rules.
How do government data sources connect to Power BI?
Typical sources include the finance or ERP system, a permitting platform, a service request system and HR. Many agencies also hold GIS layers and years of Excel files. We list them all first, and then rank them by the questions they answer.
Several public sector products run on standard databases, which Power BI reads through a gateway. Others are hosted by the vendor and offer an API or scheduled extracts. We confirm the route for each system before the quote. If procurement rules limit new tools, we design within what you already own.
Microsoft also offers Power BI in separate cloud environments for eligible United States public bodies. Features can differ there, so we check your environment against Microsoft's documentation before we plan a feature. Public pages also need a careful accessibility check, which our power bi accessibility review covers.
When an agency should consider Power BI for government
These signs suggest staff spend too long gathering numbers and too little time using them.
- Council questions take days to answer
- Departments report budgets in different formats
- Response times exist only in raw exports
- Public dashboards are out of date
- Grant reports depend on one employee
- Leaders see results only at year end
How we deliver Power BI for government teams
Public work needs a clear paper trail, so each stage produces a document you can file.
No-cost assessment
We meet for thirty minutes to hear your goals and constraints. Afterwards you know whether we fit.
Written statement of work
The quote sets out reports, sources and exclusions, so procurement can review a fixed scope.
Build under your controls
We use accounts that your IT office issues. Therefore we work inside your tenant under your policies and do not copy data to our own systems.
Weekly review and handover
Staff see progress each week. When the build ends, they receive documentation and a recorded walkthrough.
Public sector reporting in Power BI: questions
Is Power BI available in a separate cloud for agencies?
Yes. Microsoft provides Power BI in cloud environments meant for eligible United States public bodies, and Microsoft sets the rules. Some features arrive there later than in the commercial service. So before we plan the build, we confirm which environment you use and check Microsoft's current feature list for it.
Can Power BI for an agency share dashboards with the public?
It can, but the method needs care. Power BI offers a way to publish a report to a public web page, and anything published that way is open to everyone. Therefore we only use it for data you have cleared for release. Your records and legal staff should approve the content first.
Can Power BI reports for agencies support accessibility needs?
Power BI includes features that support accessible reports, such as alt text, tab order, keyboard navigation and high contrast themes. Using them well is a design task. We apply those features as we build each page. Still, your agency should test the result against its own accessibility standard before launch.
How do you handle sensitive records?
We agree which data loads before any work starts. Sensitive fields stay out of the model when a report does not need them. For the rest, row-level security limits each user to their own department or district. Your administrators also keep the audit logs, so access stays visible.
Are you a Microsoft company or reseller?
No. Power BI Agency is a division of Sataware Technologies and is independent of Microsoft. We do not resell licenses. Our team is small and experienced, and we work remotely. We also put the full scope in a written quote before any billing begins.
