Power BI for hospitality groups, hotels and restaurants
Power BI for hospitality helps hotel and restaurant operators see revenue, occupancy, labor and guest feedback side by side. Booking and point of sale systems each tell part of the story, but a joined model tells all of it. A general manager then checks yesterday's results over coffee. Our consultants build the reports inside your own Microsoft tenant, and they stay yours.
- Daily revenue picture
- Labor against demand
- Every property compared

Why do operators turn to Power BI for hospitality?
Hospitality moves by the day, and sometimes by the hour. A slow Tuesday, a sold-out weekend or a late delivery changes the plan at once. Yet many operators still learn their numbers from a weekly email that someone compiled by hand.
The systems are part of the reason. Rooms live in the property management system. Food and drink sales live in the point of sale. Labor sits in a scheduling or payroll tool. So nobody sees revenue and staffing on one screen unless a person builds that screen each time.
A shared model builds it once. It loads each source overnight and lines the figures up by date and outlet. Then managers compare covers with labor hours, or room revenue with channel cost, before the next shift starts.

Dashboards for hotels, restaurants and venues
Pick the pages that match your business, because a hotel group and a restaurant chain ask different questions.
Occupancy, rate and RevPAR
Watch rooms sold, average daily rate and revenue per available room by date, segment and property.
Booking pace
See how future dates fill compared with the same point last year, so pricing can respond early.
Channel mix
Split bookings between direct, agency and group business. Then weigh each channel's revenue against its cost.
Menu and outlet sales
Rank items and outlets by sales and margin, since a popular dish is not always a profitable one.
Labor against demand
Compare scheduled hours with covers or occupied rooms, so managers staff to the forecast.
Guest feedback
Review scores and comment themes sit beside operating data. Leaders also see which sites slip first.
What systems feed hospitality reports in Power BI?
A hotel usually brings a property management system, a revenue or channel tool and an accounting ledger. A restaurant brings a point of sale, an inventory tool and payroll. Groups with both bring all of these, often from several vendors across sites.
Vendor access varies a great deal. Some products offer an API or database access, while others only send scheduled reports. We check each one against Microsoft's connector list and the vendor's own documents. When no direct route exists, a nightly export into a staging area works instead.
Different sites often code the same thing in different ways. For example, one outlet may ring breakfast as food and another as a package. Therefore we agree shared categories with your finance lead before we build any totals. When a property system runs on a local server, our power bi gateway setup service links it to the cloud.
When Power BI for hospitality pays for itself
Operators usually call us after two or three of these have worn the team down.
- Daily reports arrive after lunch service
- Each property sends a different format
- Labor cost surprises appear at month end
- Nobody compares outlets on equal terms
- Booking pace lives in one person's file
- Guest scores and revenue never meet
How a Power BI for hospitality build unfolds
We fit the work around service hours, so your managers lose as little floor time as possible.
Short free call
You show us the daily report you use now. Afterwards we explain what a joined model would change.
Quote in writing
The scope lists properties, systems and pages. Because it is fixed, the figure does not move later.
One property first
We prove the model on a single site before we roll it out, since that exposes coding gaps early.
Weekly demo and handover
Managers see live pages each week. When the build ends, the files and notes pass to your team.
Hospitality dashboards in Power BI: common questions
Can Power BI for hospitality show yesterday's numbers each morning?
Yes, in most setups. The model refreshes overnight after your systems close the business day. So managers open the report in the morning and see the prior day complete. If a source only sends files at a set hour, we time the refresh after that. Intraday figures are possible too, but they need more design.
Does Power BI for hospitality work across many properties?
It does, and that is where it helps most. One model holds every property with shared definitions for revenue, cost and occupancy. Row-level security then lets a site manager see one location while regional leaders see all of them. Adding a new property later means new rows, not a new report.
Will Power BI connect to our point of sale?
That depends on the product. Some point of sale vendors publish an API or allow database access, and others provide exports only. During the free assessment we check your exact system. We never promise a native connector unless Microsoft lists one, so the quote reflects the real route.
Can managers use hotel Power BI reports on a phone?
Yes. Power BI has mobile apps, and we design a phone layout for the pages managers check most. That matters in this industry, because few general managers sit at a desk all day. The mobile view shows fewer visuals per screen, but the figures match the full report exactly.
Who will we work with?
You work with consultants from a small team. Power BI Agency is a division of Sataware Technologies and is independent of Microsoft. All delivery is remote. We build inside your tenant, hold a demo every week and answer messages within 2 hours.
