Power BI Azure Blob Storage integration for file data
Power BI Azure Blob Storage integration lets a report read the files that systems drop into a storage account. Microsoft documents an Azure Blob Storage connector that works in Import mode. The connector lists containers and the files inside them. Then Power Query combines those files into tables. So the quality of the result depends on how tidy the folders are.

How does Power BI Azure Blob Storage integration work?
The author selects the Azure Blob Storage connector and enters the account name or its address. After sign-in, the navigator shows the containers in that account. Each container opens as a list of files with their names, dates and content.
Then the real work begins. Power Query filters the list to the files a report needs, reads each one and appends them. For example, a folder of daily CSV exports becomes one sales table.
The connector supports Import only, according to Microsoft's article. So Power BI copies the file data into the semantic model at each refresh. Reports then read the model and never open the files directly.

Which sign-in should a storage account use?
Microsoft's article lists several authentication kinds, and each fits a different case.
Organizational account
Access ties to a named identity and its role on the storage account. So it is easy to review and revoke.
Account key
The key opens the whole account. Therefore we treat it as a last resort and store it with care.
Shared access signature
A signature can limit access to one container and to read rights. However, someone must renew it on time.
Service principal
An app identity suits unattended refresh. Still, the article notes it does not work through a gateway.
Anonymous
This only fits containers that are public on purpose. Most business data should never sit in one.
Gateway or not
A public endpoint needs no gateway. When the account sits behind a private network, a gateway carries the traffic.
What makes blob files easy to report on?
Consistency matters most. Files that share one layout append cleanly. When a column changes name halfway through the year, the combined table breaks or fills with blanks.
Folder structure helps too. A path that carries the date, such as year and month, lets Power Query skip old files. So refresh reads only what changed instead of every file since the start.
Format is the third point. Delimited text is simple but large, while columnar formats load faster. We therefore ask what the producing system can write, and we choose the best option it supports.
Pitfalls in a Power BI Azure Blob Storage integration
File-based reporting tends to fail for one of these reasons.
- Layouts that drift between files
- Refresh that rereads every old file
- An account key pasted into a query
- A signature that expires without warning
- Test and live files mixed in one container
- No check for a file that failed to arrive
Our steps for Power BI Azure Blob Storage integration
Four stages turn a container of files into a model people trust.
Survey the containers
First we list the files, their layouts and the systems that write them.
Agree access
Then we settle the sign-in method with your cloud team and keep rights read-only.
Build the combine step
Next we write one query that filters, reads and appends the files, so new ones load without edits.
Add checks
Finally we add row counts and a missing-file alert, because silent gaps are the usual risk.
Azure Blob Storage files in Power BI: common questions
Does Power BI have a native Azure Blob Storage connector?
Yes. Microsoft's Power Query connector list includes an Azure Blob Storage connector, and its article marks it as generally available. The article lists Import as the supported capability. It also lists several authentication kinds, among them an account key, an organizational account, a shared access signature and a service principal.
Can Power BI use DirectQuery on Azure Blob Storage?
No, not through this connector. Microsoft's article lists Import only. So Power BI loads the file data into the semantic model and refreshes it on a schedule. When you need live queries over files, a query engine or a lakehouse on top of the storage is the usual answer.
Does Power BI need a gateway for Blob Storage refresh?
Often it does not. A storage account with a reachable endpoint can refresh from the Power BI service directly. If the account only allows private network access, a gateway inside that network is the route. Microsoft's article adds that service principal sign-in is not supported through a gateway.
How large can Azure Blob Storage data in Power BI get?
The limit comes from the semantic model and your capacity, not from the storage account. So we load only the columns and the period a report needs. Incremental refresh helps as well, because it keeps old periods in place and reloads only recent ones.
