Power BI HubSpot integration for marketing and sales teams
Power BI HubSpot integration joins marketing and sales data from HubSpot with finance and product figures from the rest of the business. Microsoft's Power Query connector list has no HubSpot connector, so the link is not a one-click job. Instead, data moves through the HubSpot API, scheduled exports or a staging database. With the right route, contacts, deals and tickets refresh as steadily as any native source.
- API-based route
- Deals beside revenue
- Stage history kept

How is Power BI HubSpot integration set up?
HubSpot exposes its CRM through a web API. A private app in your HubSpot account issues an access token with chosen read scopes. Any tool that holds that token can then request contacts, companies, deals and tickets.
Power BI can call a web API directly from Power Query. That works for a small account. However, the API returns data in pages and enforces rate limits. So a direct query over a large account becomes slow and brittle.
The sturdier pattern adds a middle step. A scheduled job pulls from the API and writes to a small database. Power BI then reads the database with a native connector. As a result, refresh is quick, and history stays even when HubSpot records change.

HubSpot objects that matter in a report
Six objects cover most questions, and associations link them together.
Contacts
People records carry lifecycle stage and source, so marketing can count who moved forward.
Companies
Account records group contacts and deals, which then lets revenue roll up by industry or size.
Deals
Amounts, pipelines and close dates feed forecast and win analysis for each sales team.
Tickets
Support requests show volume and time to close, while categories point to recurring issues.
Engagements
Calls, emails and meetings reveal activity levels behind every deal and every rep.
Owners
Owner records tie each object to a person, so row-level security can follow teams.
Why does deal stage history need special care?
A deal record shows its current stage only. Managers, however, ask how long deals sit in each stage and where they drop out. That answer lives in property history, which the API returns separately.
If the load stores just the latest record, the history is gone for reporting. So we capture stage changes as their own table, one row per move. Then funnel and velocity measures become simple.
Associations need similar care. A deal can link to several contacts and one company. Therefore a careless join doubles deal amounts. We load associations as bridge tables and test totals against the HubSpot screens before anyone builds visuals. The model can then feed sales pipeline analytics.
Mistakes in a Power BI HubSpot integration
These six errors are common, and each one distorts a headline number.
- Calling the API live from every report
- Keeping only the current deal stage
- Joining deals to contacts without a bridge
- Ignoring archived or merged records
- Hard-coding pipeline and stage names
- Sharing one personal token across the team
Our steps for Power BI HubSpot integration
Four stages take the work from scattered exports to one trusted model.
Define the questions
First we agree what sales and marketing want to see, since that sets which objects and properties to load.
Create secure access
Then your admin creates a private app with read scopes, so no personal login sits in the pipeline.
Load and store
Next we build the scheduled load into a staging database and capture stage history along the way.
Model and verify
Finally we shape the star schema, write funnel measures and check totals against HubSpot reports.
Questions about HubSpot data in Power BI
Does Power BI have a native HubSpot connector?
No, not on Microsoft's connector list at the time of writing. So we describe the routes that do exist. Those are the HubSpot API, exports to files and a staging database that Power BI reads. Third-party connectors are available too. They start faster, but they add a subscription and another party handling your CRM data.
Can Power BI refresh HubSpot data every day?
Yes. With a staging database, the load job runs on its own timer and Power BI refreshes after it. Daily is common, and more frequent runs are possible within your Power BI license limits. The HubSpot API also has daily call limits, so we size the job to stay well inside them.
Is a gateway needed for a HubSpot integration with Power BI?
That depends on where the staging database lives. A cloud database such as Azure SQL connects without a gateway. A database on a server in your building needs the on-premises data gateway. In most cases we suggest the cloud option, because it removes a machine that someone would have to keep running.
Can HubSpot reports replace this work?
Sometimes. HubSpot's own dashboards answer many sales and marketing questions well. The case for Power BI appears when you need other data next to the CRM, for example invoices, product usage or targets. It also helps when leaders already read Power BI daily and want one place for every number.
