Power BI MySQL integration for web and app databases
Power BI MySQL integration brings the database behind a website, a store or an internal app into reports the business can read. Microsoft documents a MySQL database connector, so Power BI can sign in and import tables or views. However, the connector depends on a driver package, and a server on a private network needs a gateway. Both points are easy once somebody plans for them.
- MySQL database connector
- Driver on the gateway
- Views built for reports

How does Power BI MySQL integration connect to the server?
The author picks the MySQL database connector and enters the server and database names. Then Power BI asks for a database login. After that, a navigator lists the tables and views that the login may read.
There is one prerequisite that trips people up. Microsoft's page says Power BI Desktop needs the Oracle MySQL Connector/NET package. So we install it on the author's machine, and also on the gateway server when a gateway is in play.
The connector imports data, which means the model holds a copy. As a result, reports stay quick and the production server rests between refreshes. Still, the refresh schedule then sets how fresh the figures are.

Where the MySQL server sits changes the design
We ask about hosting on the first call, because it decides the network route.
Managed cloud MySQL
A hosted server with a public endpoint can refresh from the service. However, its firewall must allow that traffic.
Private cloud network
The server has no public address. So a gateway inside that network carries each refresh request.
Server in your building
An on-premises data gateway runs on a machine nearby. It needs the same MySQL driver as the desktop.
Why not load the application tables as they are?
Application schemas serve the app, not the analyst. Orders spread across many tables, and status lives in numeric codes. Also, soft-deleted rows stay in place with a flag that only the developers remember.
So we add reporting views in MySQL itself. Each view joins what belongs together, names columns in plain words and drops deleted rows. Then Power Query has little left to do, and refresh is shorter.
A read replica is worth a mention too. For example, a busy store can point reporting at a replica instead of the primary server. That way a large refresh never slows a customer at checkout. The Power BI MariaDB integration page covers the sister database, which shares much of the same setup. Shop data like this often feeds a Power BI order fulfillment dashboard.
Common faults in a Power BI MySQL integration
When a MySQL-based report misbehaves, we look for these first.
- The driver is missing on the gateway machine
- Zero dates in old rows break type conversion
- Text columns use mixed character sets
- The refresh login can write as well as read
- Time stamps sit in server time, not local time
- Every refresh reloads years of history
Our steps for Power BI MySQL integration
Four stages, with a demo each week, keep the work visible from start to finish.
Meet the developer
First we sit with whoever knows the schema and learn which tables matter and which ones are leftovers.
Quote the work
Then you receive a written scope that names the views, the model and the pages, so cost cannot creep.
Connect and model
We set up the driver, the gateway if needed and the semantic model, all inside your own tenant.
Leave clear notes
Finally, we document the views and the refresh path, because your developers will change the schema again.
Questions about MySQL data in Power BI
Does Power BI have a native MySQL connector?
Yes. Microsoft's Power Query connector list includes a MySQL database connector. It needs the Oracle MySQL Connector/NET package on the machine that runs the query. So the same package must sit on the gateway server when the database is not reachable from the cloud. Microsoft's page lists the supported versions.
Does a Power BI MySQL setup need a gateway?
It depends on the network. A server that the Power BI service cannot reach needs an on-premises data gateway. A cloud-hosted server with an open, protected endpoint may not. We check the firewall and hosting setup first. Then we recommend the route with the fewest parts to maintain.
Will reporting slow down our live application?
It can, if a large import runs at a busy hour. So we schedule refresh for quiet periods and read from views that return only the needed columns. For heavier workloads, a read replica takes the load away from the primary server. We agree the approach with your developer beforehand.
Can MySQL data combine with other sources in one report?
Yes. A semantic model can hold MySQL tables beside data from accounting, advertising or spreadsheets. However, the keys must line up, for example customer or product codes. We map those keys early, because mismatched codes cause more trouble than any connector setting ever does.
