Trello board reporting

Power BI Trello integration for boards, lists and cards

Power BI Trello integration shows how work moves across boards: what waits, what is late and who carries the load. Microsoft's Power Query connector list has no Trello connector. So the board data reaches Power BI through the Trello web API, a board export or a third-party connector. Then a model turns cards and moves into measures a manager can read.

  • Trello API route
  • Card flow measures
  • Many boards, one view

How does Power BI Trello integration get board data?

Trello offers a web API that returns boards, lists, cards, labels and members as JSON. Power BI can call it with the Web connector. So a Power Query function asks for each board and flattens the answer into tables.

The API expects a key and a token that belong to a Trello user. Therefore the report sees exactly what that user sees. We ask for a service account with read access, so a staff change does not break refresh.

Exports are the other built-in route. For example, Trello can export a board as a JSON file, and Power BI reads that file. However, an export is a snapshot, so somebody must repeat it.

What can a Trello report in Power BI measure?

A board shows the present. It tells a team what sits in each list right now. Still, managers usually ask about time: how long cards wait and whether work speeds up.

Those answers come from the action history. Each move of a card between lists leaves a record with a date. So we load those actions and work out how long a card spent in each stage.

Then the measures follow. Cycle time, cards finished per week and work in progress all come from the same table. Because the logic lives in the model, every board uses one definition. Labels and members then slice those measures, so a lead can see which kind of work waits longest and where a person carries too much.

Tables behind a Trello model in Power BI

A small star schema is enough, since the Trello data model is simple.

Cards

One row per card, with its board, current list, due date and status. This is the central table.

Card moves

One row per change of list. Therefore this table drives every measure about time and flow.

Members and labels

A card can hold several of each. So bridge tables link them without doubling the card count.

Pitfalls in a Power BI Trello integration

Board-based reports tend to fail in the same six ways.

  • Each team names its lists differently
  • Archived cards drop out of the figures
  • Several members per card inflate counts
  • Due dates stay empty on most cards
  • The token belongs to one employee
  • History loads in full on every refresh

Our steps for Power BI Trello integration

Four stages and a weekly demo take the boards to a shared report.

  1. Compare the boards

First we list the boards in scope and map each list to a common stage.

  2. Confirm the quote

Then the written scope names the route, the measures and the pages.

  3. Build the flow model

We load cards and moves, relate the tables and write the measures in your tenant.

  4. Review with the team

Finally, team leads check the numbers against their boards before the report goes wide.

Questions about Trello boards and Power BI

Does Power BI have a native Trello connector?

No. Microsoft's Power Query connector list does not include Trello, so Get Data offers nothing built in for it. The honest routes are the Trello web API through the Web connector, a board export or a third-party connector. We describe each option and its upkeep before you commit to one.

Can Power BI combine several Trello boards?

Yes. One query function can run for each board and append the results. However, the boards need a shared language first. For example, one team says Doing and another says In progress. So we add a mapping table that assigns every list to a standard stage.

How fresh is Trello data in a Power BI report?

As fresh as the last refresh. The API route imports data, so a schedule in the Power BI service reloads it several times a day if needed. That suits planning and review meetings well. For a live view of a single card, the board itself remains the better place.

Will a Power BI Trello setup keep working as boards change?

Mostly, with some care. New cards and lists flow in without changes. Still, a new list needs a stage in the mapping table, or it shows as unmapped. We make that gap visible on an admin page, so whoever owns the report can fix it in a minute.
