Report redesign

Power BI report redesign for reports people stopped opening

Power BI report redesign takes an existing report that is correct but hard to use and reworks its pages so readers find answers quickly. The work covers layout, navigation, visual choice, speed and accessibility, while the numbers stay the same. Power BI Agency redesigns inside your own Microsoft tenant, shows before and after views at a weekly demo and fixes the page list in writing.

  • Same numbers, clearer pages
  • Before and after views
  • Faster page loads

When does a Power BI report redesign make sense?

Reports age. A page that began with four visuals gains one more each quarter. Eventually it holds twenty, and new readers cannot tell which one matters. The data is still right, but the message is lost.

Usage numbers tell the story. The Power BI service shows how often people open a report. So a steady decline is a plain signal that the pages no longer serve their readers.

A rebuild from scratch is rarely the answer. If the model is sound, the fix lies in the pages. Therefore a redesign costs far less effort than a new project. For example, a crowded Power BI net promoter score dashboard can often shrink to one clear page.

What we change during a redesign

A redesign touches six things and leaves the measures alone.

Page structure

One crowded page becomes a summary and a few detail pages, so each has a single job.

Navigation

Buttons and drill-through links connect the pages. Then readers move by question, not by tab name.

Visual choice

Charts that confuse give way to simpler types, since a bar often beats a gauge.

Theme and spacing

A single theme sets fonts and colors, and consistent gaps group related items.

Performance

Fewer visuals mean fewer queries. As a result, pages respond sooner after each click.

Accessibility

Contrast, tab order and alt text get attention, so more people can read the report.

Will a redesigned Power BI report change our numbers?

It should not. A redesign works on presentation, while measures and data stay as they are. We record key totals before we start and check them again at the end.

Sometimes the review does uncover a problem underneath. For example, a visual may use the wrong measure, or a filter may hide rows by accident. We then report it and let you decide what to do.

Readers also need a bridge. People know where things sat on the old page. So we show before and after views side by side and explain where each item went.

Symptoms that call for a Power BI report redesign

Any report that shows several of these is a candidate.

  • Readers export to Excel instead of reading
  • Pages scroll in two directions
  • The same slicers sit in different places
  • Nobody can name the report's main point
  • Each click takes seconds to respond
  • New staff need a tour to use it

How our Power BI report redesign process runs

Four stages take a report from cluttered to clear.

  1. Review with readers

First we watch a few people use the current report and note where they hesitate.

  2. Redesign sketches

We then sketch the new pages, and the written quote fixes which pages are in scope.

  3. Report rebuild and demo

New pages take shape on a copy in your tenant, and each week you compare them with the old ones.

  4. Switch and follow-up

Finally, the new version replaces the old, and we check usage after readers have settled in.

Questions on redesigning a Power BI report

Can a Power BI report redesign happen without downtime?

Yes. We work on a copy, so the live report stays available throughout. When the new version is ready and approved, it replaces the old one. Because both use the same semantic model, readers see the same data before and after the switch. Links and app navigation also get an update.

Do you redesign Power BI reports built by someone else?

A redesign can start from reports we did not build. First we review the model and the pages. If the model has faults, we say so and price that work separately. Otherwise we keep it as it is and focus on the pages alone.

How do you decide what to remove?

We ask the readers and we look at the usage data. A visual stays when it supports a decision someone makes. Otherwise it moves to a detail page or leaves. Still, nothing disappears without the owner's agreement, and the weekly demo is where that agreement happens.

Can you apply our brand to the report?

We can. Brand colors and fonts go into a theme file, so every page follows them. However, some brand colors lack contrast for charts. In that case we add a few supporting shades and show you the result, and then you choose.
