Power BI Report Server migration that stays on premises
Power BI Report Server migration moves your on-premises report server to a newer release, to new hardware or from SQL Server Reporting Services, while every report stays behind your firewall. The catalog database, the encryption key, subscriptions and permissions all have to arrive intact. One of our consultants plans the move with your IT team, rehearses it on a copy and checks the reports afterwards.
- Catalog and key backed up
- Rehearsal on a copy first
- Reports checked after cutover

What does a Power BI Report Server migration involve?
Report Server is the on-premises home for Power BI reports and paginated reports. It runs on your own hardware, and your IT team patches it. Many companies keep it because policy or contracts keep reports inside their own network.
A move on premises takes one of three forms. First, an upgrade installs a newer release on the same machine. Second, a hardware move shifts the whole server to another Windows host. Third, a team on SQL Server Reporting Services brings its catalog into Report Server to gain interactive Power BI pages.
In each case the heart of the server is its catalog database. It holds every report, folder, schedule and permission. Therefore the work centers on a clean backup of that database and its encryption key, a careful restore and a full check of what users see.

What travels in a Power BI Report Server migration
Most items travel inside the catalog database, although a few live outside it and need their own step.
| Item | Where it lives | What to check |
|---|---|---|
| Reports and folders | Catalog database | Counts match before and after |
| Encryption key | Report server service | Backup taken and restored |
| Data sources | Catalog database | Stored credentials still work |
| Subscriptions | Catalog and SQL Server Agent | Jobs run on the new host |
| Permissions | Catalog database | Roles and groups unchanged |
| Server settings | Configuration files | Addresses, email and memory limits |
Why keep Report Server instead of leaving for the cloud?
The cloud is not right for every company. For example, a contract may require reports to stay on your own servers, or a plant network may lack a reliable internet link. In those cases the server stays, and the job is to keep it current.
An old server carries risk as well. Older releases fall out of support, and authors need the matching edition of Power BI Desktop, so a stale server holds the whole team back. Meanwhile, ageing hardware makes every month-end run slower.
If the cloud is the goal, that is a different project. Moving reports to the Power BI service is the job of an SSRS to Power BI migration. Here, by contrast, everything stays on your own hardware. For example, a Power BI production dashboard on the plant floor keeps reading the plant database directly.
When a Power BI Report Server upgrade or move makes sense
An upgrade or a move is worth planning when several of these hold true.
- The server runs a release that is out of support
- Authors cannot open reports in their Desktop edition
- The server hardware is due for renewal
- Month-end runs keep getting slower
- SSRS reports need interactive Power BI pages
- Policy still keeps reports on premises
How our Power BI Report Server migration runs
Four stages keep the old server running until the new one has passed every check.
Inventory and backup
First we list every report, data source, subscription and role. Then your DBA backs up the catalog databases and the encryption key.
Rehearsal on a copy
Next we restore the backup on a test machine and run the upgrade there. As a result, surprises appear before the real date.
Cutover
On the agreed evening the old server goes read-only, the final backup moves and the new server starts. Users keep the same address where possible.
Checks and handover
Finally we open a sample of reports, run each subscription once and compare totals. A short runbook then records every setting for next time.
Moving or upgrading Report Server: questions from IT
Can we upgrade Power BI Report Server in place?
Yes, in many cases. The installer can upgrade an existing server, and the catalog database is updated on first start. Still, we take a full backup of the databases and the encryption key first. We also rehearse the upgrade on a copy, because a failed in-place upgrade on the live server is the slowest problem to undo.
Can SSRS reports move into Power BI Report Server?
Yes. Microsoft documents a path from a native mode SQL Server Reporting Services installation to Power BI Report Server. The catalog database moves across, so paginated reports, folders and subscriptions keep working. After that, your authors can add interactive Power BI reports on the same server. We test each report type before users switch.
Why does the encryption key matter so much?
The key protects stored credentials and connection strings in the catalog. Without it, the new server cannot read them, so every data source with saved credentials would need its password typed again. Therefore we back up the key before anything else, and the password for that backup stays with your IT team, not with us.
Should we move to the Power BI service instead?
Sometimes. The service offers dashboards, apps and newer features sooner than the server does. However, it needs cloud hosting to pass your policy. If it does, a cloud move may serve you better, and we say so plainly on the assessment call. If it does not, a well-kept server remains a sound choice.
How does the engagement start?
It starts with a free 30-minute assessment call, where you describe the server, its release and its content. Afterwards we send a written quote that fixes the scope. All work happens remotely, through accounts you control. Power BI Agency is a division of Sataware Technologies and is independent of Microsoft.
