Power BI customer lifetime value analysis by cohort and channel
Power BI customer lifetime value analysis estimates the margin a customer brings over the whole relationship, not just the first order. It groups customers by when and how they arrived, and then tracks what each group spends afterward. Marketing and sales use the result to decide which channels deserve more budget. Our consultants build the model in your own Microsoft tenant, with every assumption shown.
- Value by cohort
- Retention over time
- Value against acquisition cost

What is Power BI customer lifetime value analysis?
A first order rarely tells you what a customer is worth. Some buyers return for years, while others vanish after one purchase. So a channel that looks cheap per new customer can be the expensive one, when its buyers never come back.
Lifetime value puts a figure on that difference. At its simplest, it is the margin a customer generates across all orders. A forward view then adds an estimate for the years ahead, based on how similar customers behaved.
The honest part is the word estimate. Past cohorts are fact, but future value is a projection. Therefore a good model shows both and keeps them apart. Readers should always know which number they are looking at.

Cohort, retention and value measures in the model
Each one builds on order history, so the data needs are modest.
Cohort value curve
Customers group by first purchase month. Then cumulative margin per customer plots against months since that date.
Retention rate
The share of each cohort still buying after a given time shows how long relationships last.
Order frequency and size
Average orders per year and margin per order explain the curve, because value is their product.
Value by channel
Cohorts split by acquisition source, so paid search buyers compare with referral buyers on equal terms.
Value against acquisition cost
Lifetime margin sits beside the cost to win the customer. As a result, payback time becomes visible.
Segment comparison
Curves by region, plan or first product reveal which starting points lead to lasting customers.
Which data does a lifetime value model in Power BI need?
Three things are essential. First, a stable customer identifier across every order. Second, order lines with dates and amounts. Third, cost, so the model can work in margin and not revenue. The ERP, billing or ecommerce system normally supplies all three. Our power bi data modeling work then sets up that key and the cohort tables around it.
Acquisition source is the usual gap. The CRM or marketing platform may record it, yet often only for recent customers. We load what exists and label the rest as unknown. Guessing a channel would spoil the comparison.
Subscription businesses add a contract table with start, renewal and cancel dates. Then retention comes from contracts instead of order gaps. For other businesses, we agree a rule for when a quiet customer counts as lost, since the data alone cannot say.
Errors in Power BI customer lifetime value analysis
These mistakes inflate the figure or hide its limits.
- Measuring revenue when margin is the point
- Blending old and new cohorts into one average
- Projecting far beyond the observed history
- Counting duplicate customer records as new buyers
- Ignoring refunds, returns and service cost
- Presenting an estimate as a settled fact
How we deliver Power BI customer lifetime value analysis
Marketing, sales and finance review the numbers together each week, so one definition holds.
Agree the definition
First we settle margin basis, time horizon and the rule for a lost customer.
Clean customer identity
Next we merge duplicate records where the evidence is clear, and we list the doubtful ones for you.
Build cohort measures
Then we write the cohort, retention and value measures, and we check them against a hand sample.
Add projection carefully
Finally we add a forward estimate with its assumptions on the page, kept separate from observed value.
Lifetime value reporting in Power BI: common questions
How does Power BI calculate customer lifetime value?
Power BI has no single built-in function for it. We write DAX measures that sum margin per customer and group customers by first purchase date. Retention and order frequency come from the same order table. A forward estimate then multiplies expected orders by expected margin, using assumptions that finance approves and that the page displays.
Can a lifetime value model predict future spending?
It can project, which differs from predict. The projection extends patterns seen in older cohorts to newer ones. That works when the business is stable. However, a price change, a new product or a market shift can break the pattern. So we show the projection as a range of scenarios and not as one figure.
What is a customer cohort in a Power BI value report?
A cohort is a group of customers who share a starting point, most often the month of their first order. Tracking each group separately keeps old and new customers from blurring together. For example, you can see whether this spring's new buyers return as often as last spring's did at the same age.
Do we need a data science tool for this?
Usually not at the start. Cohort curves, retention and margin per customer need only a sound model and DAX. Those answer most budget questions. Statistical models can come later, and Power BI can display their output. We suggest you begin with observed value, because it needs no leap of faith.
