Turnover analysis

Power BI employee turnover analysis that shows who leaves and why

Power BI employee turnover analysis measures how many people leave a company in a period and compares that number with the average workforce. It then splits leavers by team, tenure, manager and reason, so HR can see patterns instead of single cases. A small team builds the model in your own Microsoft tenant and demos it weekly.

  • Standard turnover rate
  • Voluntary against involuntary
  • Tenure at exit

What does Power BI employee turnover analysis reveal?

Every company loses people. The question is whether the loss is normal or a warning. One exit tells you little, but a cluster in one team during one quarter tells you a lot.

Turnover reporting finds those clusters. It compares rates across departments, locations and job levels over time. It also separates people who chose to leave from those the company let go, because the two call for different responses.

Timing adds another layer. For example, many exits within the first year point toward hiring or onboarding. Exits after several years point somewhere else, such as pay or career growth. So the page shows tenure at exit beside the rate itself.

Attrition measures and how each one works

These are the standard definitions, and the page prints each one next to its figure.

Turnover rate

Divide the number of separations in a period by the average headcount during that same period. This is the common HR definition.

Voluntary turnover

Count only resignations in the top half of the formula. Then the rate reflects choices employees made.

Involuntary turnover

Count dismissals and layoffs instead. Since these follow company decisions, they belong in a separate figure.

Retention rate

Take the people employed at the start of a period and divide those still employed at the end by that group.

First-year turnover

Look only at leavers with under one year of service, because early exits often trace back to hiring.

Average tenure at exit

Average the length of service of leavers. However, read it by job family, as norms differ widely.

How do you model employee turnover in Power BI?

The source is the HR system's employee record with a hire date and a termination date. From it we need two things in every period: how many people left, and how many were employed on average. The first is a simple count of termination dates.

The second takes more care. Headcount on any day equals everyone hired on or before that day and not yet gone. So the measure counts employees whose dates span the day in question. We then average the opening and closing headcount, or the daily figures, as your HR team prefers. Measures like this are a common reason teams ask for power bi dax consulting.

History matters too. If the employee table stores only today's department, a leaver from last year lands in the wrong team. Therefore we keep a dated record of each person's department, manager and job, and the rate uses the values at the time of exit.

Errors to avoid in Power BI employee turnover analysis

The rate looks simple, but these six slips distort it.

  • Dividing by headcount on the last day rather than the average
  • Annualizing a monthly rate without saying so
  • Counting internal transfers as separations
  • Blending voluntary and involuntary exits in one figure
  • Reporting rates for very small teams without a caution
  • Placing past leavers in their manager's current team

How we deliver Power BI employee turnover analysis

Four stages take you from an HR export to a page leaders trust.

  1. Agree the definitions

First HR confirms which exit types count, how to treat contractors and which headcount average to use.

  2. Build the employee history

We shape hire, move and exit records into a dated table, then relate it to department, job and date lookups.

  3. Check rates against HR records

Next we compare headcount and leaver counts with your HR system for several past months.

  4. Design and restrict the pages

Finally summary pages go to leaders while named detail stays with HR, and we hand over the file with notes.

Employee turnover in Power BI: questions HR teams ask

Which formula does Power BI employee turnover analysis use?

It uses separations during the period over average headcount during the period. That is the definition most HR teams and surveys apply. Power BI does not impose a formula, so we write it as a measure and show it on the page. If your company already uses a variant, we follow yours and label it.

Can employee turnover in Power BI be split by reason?

Yes, when the HR system records an exit reason. We group the raw codes into a short list, such as pay, career, relocation and performance. Long code lists hide the pattern. However, exit reasons depend on what people say when they leave, so we present them as a guide rather than proof.

Can Power BI predict who will leave?

Power BI shows patterns, and its key influencers visual can point to factors linked with exits in your data. Still, that is a description of the past and not a forecast for one person. We advise caution with individual predictions. Group-level trends are safer to act on and easier to defend.

How do you protect sensitive employee data?

We limit detail by audience. Leaders see rates and counts by team. Named records stay in a separate report for HR. Row-level security also filters each manager to their own area. Because small groups can reveal a person, we hide or merge figures below a size your HR team sets.
