A Power BI help desk dashboard for tickets, backlog and SLAs
A Power BI help desk dashboard shows how many tickets arrive, how many get solved and how many wait, along with how long each step takes. IT and support managers use it to balance workload and to find the categories that cause repeat trouble. A small team builds the model inside your own Microsoft tenant, with the scope set in writing.
- Backlog by age
- SLA results by priority
- Root causes ranked

What does a Power BI help desk dashboard show?
A service desk deals in tickets. Each one opens, waits, moves between people and finally closes. The ticketing tool tracks every step, but its standard reports tend to list tickets rather than explain trends.
A good page starts with flow. It compares tickets opened with tickets closed for each week. When opened runs ahead of closed, the backlog grows, and the chart shows it before the team feels it.
Then it turns to causes. For example, a Pareto view ranks categories by volume, and a few of them usually account for most of the work. So a manager knows which fix, guide or training would remove the most tickets. Choosing views like that one is the core of power bi dashboard design.

Ticket measures a service manager reviews weekly
These six measures cover speed, load and quality without drowning the reader.
Opened and closed
Count tickets by created date and by resolved date. The two use different date fields, so the model handles both.
Open backlog
Count tickets created on or before a date and not yet resolved by it. Then split the figure into age bands.
First response time
Measure the time from ticket creation to the first reply from an agent.
Resolution time
Measure the time from creation to resolution. Because a few long tickets skew the average, the median appears as well.
SLA compliance
Divide tickets that met their response or resolution target by all tickets with a target.
Reopen rate
Divide reopened tickets by resolved tickets, since a quick close that fails is no real fix.
How should help desk tickets be modeled in Power BI?
One ticket carries several dates: created, first response, resolved and closed. A table can hold only one active relationship to the date table. So we make the created date active and leave the others inactive, then switch in measures as Microsoft's guidance describes.
Backlog is a point-in-time figure, much like stock. It does not come from summing a period. Instead, the measure counts tickets that were open on each date. For long trends over large ticket tables, we may store a daily snapshot, because that keeps the visual quick.
Working hours add a final twist. A target of eight business hours ignores nights and weekends, but a simple date difference does not. If the ticketing tool already stores business-hour durations, we use them. Otherwise we calculate them in Power Query with your calendar.
Mistakes to avoid in a Power BI help desk dashboard
Support reports lose their audience when these six problems appear.
- Reporting average resolution time without the median
- Counting elapsed hours when targets use business hours
- Treating time spent waiting on the customer as agent time
- Filtering closed tickets by their created date
- Letting dozens of categories hide the top causes
- Rewarding fast closes while reopen rates climb
How we build a Power BI help desk dashboard
We follow four stages and show results every week.
Map statuses and targets
First we list your ticket statuses, priorities and targets, and agree which status stops the clock.
Connect the ticketing tool
We read tickets and their status history by the route the vendor supports, whether a connector, an API or an export.
Build measures and snapshots
Next we write the flow, backlog and time measures and check samples against the tool.
Design, publish and train
Finally the pages go live in your workspace, and your service managers learn how to read and extend them.
Help desk reporting in Power BI: frequent questions
Which ticketing tools can a Power BI help desk dashboard read?
Most of them, by one route or another. Some tools have a documented connector, and many expose an API or a reporting database. Others offer scheduled exports. We check Microsoft's connector list and the vendor's documentation first. After that, the written scope names the route, so you know exactly how the data will flow.
How do you calculate backlog for a help desk in Power BI?
The measure counts tickets created on or before the date and still unresolved on that date. It does this for every point on the chart. So the trend shows the true queue on each day, not just today's. We then add age bands, because a small old backlog can matter more than a large fresh one.
Why show the median next to the average?
A handful of tickets that stay open for months pull the average up sharply. The median shows the typical ticket instead. DAX has median and percentile functions, so both are easy to provide. Together they tell you whether the desk is slow in general or only stuck on a few cases.
Can customers or business units see their own tickets?
Yes. Row-level security limits each viewer to their department or account. For people outside your organization, Microsoft offers several sharing options with their own license rules, which Microsoft Learn explains. We go through those with you, since the right choice depends on how many external readers you expect.
