A Power BI maintenance dashboard for work orders and failures
A Power BI maintenance dashboard shows how much work the crew completes, how much of it was planned and which assets fail most often. Maintenance managers use it to shift effort from emergency repairs toward scheduled care. Our consultants build the model inside your own Microsoft tenant from your work order records, with a written fixed scope.
- Planned against unplanned
- Failures ranked by asset
- Backlog in crew weeks

What does a Power BI maintenance dashboard tell a manager?
Maintenance teams rarely lack data. Every job creates a work order with an asset, a type, hours and parts. However, the maintenance system mostly shows those orders as lists. Patterns across thousands of jobs stay out of sight.
The page draws those patterns. It shows the split between preventive, corrective and emergency work for each month. When emergency work takes a growing share, the crew has less time for prevention, and the chart makes that cycle visible.
It also names the worst actors. A ranked view lists assets by failure count, downtime and repair cost. So the reliability engineer knows where a root cause study will pay back first. Maintenance often sits inside wider operations reporting in power bi, next to output and quality.

Reliability and workload measures explained
Each definition below is the usual one, and the page states which work order types it includes.
Mean time between failures
Divide operating time by the number of failures in the period. A rising value means the asset fails less often.
Mean time to repair
Divide total repair time by the number of repairs. It shows how quickly the crew restores service.
Planned work share
Divide hours on planned jobs by all maintenance hours, since planned work costs less disruption.
Preventive compliance
Divide preventive jobs finished by their due date by preventive jobs due in the period.
Backlog
Sum the estimated hours of open work orders. Then divide by weekly crew hours to express it in weeks.
Maintenance cost
Add labor, parts and contractor cost per asset, and compare it with the asset's replacement value where known.
Which data does maintenance reporting in Power BI use?
The work order table sits at the center. Each row carries the asset, the work type, the priority, the dates and the hours. Labor bookings and parts issues hang off it as detail tables, so cost can roll up to the order and the asset.
Assets form a hierarchy: site, area, system, equipment and sometimes component. We flatten that hierarchy into columns of one asset table. Then a user can expand from a plant to a pump in a matrix without any special handling.
Time between failures needs operating time. Where a meter or a production system records run hours, the model uses them. Otherwise calendar time stands in, and the page says so. That honesty matters, because an idle machine looks very reliable on calendar time.
Mistakes in a Power BI maintenance dashboard
These six problems come from how work orders get recorded as much as from the report.
- Counting every corrective order as a failure
- Using calendar time for idle equipment without a note
- Closing work orders late, so repair times look long
- Booking all hours to one standing order
- Leaving the failure code blank or set to other
- Reporting backlog as a count instead of hours
How we set up a Power BI maintenance dashboard
The first stage looks at how your team records work, because that decides what the numbers mean.
Review work order practice
First we check work types, failure codes and closing habits, and note where records need tightening.
Connect the maintenance system
We read work orders, labor, parts and the asset register through a supported route.
Model and verify
Next we build the asset hierarchy and the measures, then verify a sample of assets by hand.
Publish and coach
Finally we publish planner, reliability and cost pages and coach your team on using them.
Maintenance reporting in Power BI: common questions
Can a Power BI maintenance dashboard connect to our maintenance system?
Usually, yes. Many maintenance systems store data in a database or offer an API, and some provide exports. We check Microsoft's connector documentation and your vendor's guide before we commit to a route. For a database inside your network, an on-premises data gateway carries the refresh, as Microsoft Learn describes.
Can maintenance data in Power BI predict failures?
Not by itself. The report shows history: which assets fail, how often and under what conditions. That already guides preventive plans. Prediction needs sensor data and a statistical model, which is a separate effort. However, a sound history model is the base any later predictive work would build on.
How is this different from an asset management page?
An asset page centers on the register: what you own, its age, value and condition. This page centers on the work done and the failures that happen. They share the asset table, so both can sit in one model. Starting with the work orders is common, since that data changes daily.
Can planners use it for weekly scheduling?
Yes, as a view of the load. A planner page lists open orders by priority, due date and estimated hours against crew capacity. Scheduling itself still happens in the maintenance system, because Power BI reads data and does not write back. The page helps decide what goes into next week.
