LMS training dashboards

A Power BI training dashboard for LMS and compliance data

A Power BI training dashboard is a report on your learning management system, or LMS, data. It shows course completions, overdue mandatory training, expiring employee certifications, and training hours and cost by team. It joins the LMS with the HR record, so each manager sees their own people. Our consultants build it inside your own Microsoft tenant, and a written quote fixes the scope before work starts.

  • Mandatory training overdue
  • Expiring certifications listed
  • Hours and cost by team

What does a Power BI training dashboard show a manager?

A learning management system, or LMS, records every enrollment, completion and due date. Yet a manager wants one answer: who on my team still has mandatory training to finish? This page covers reporting on that learning data. If instead you want your own staff to learn Power BI itself, see our Power BI training for teams.

So the first page answers that question. It lists each person, the mandatory courses due and the days left. Then a second view rolls the same figures up by department, site and job family, which is the view a compliance lead needs before an audit.

Certifications need their own view. A forklift license or a first aid refresher lapses on a set date, and the LMS usually stores that date. Meanwhile, finance asks a different question: what did training cost this year, and which teams used the most hours? The Power BI training dashboard answers both from the same records.

Learning measures worth tracking each month

Each measure comes from enrollment and completion records, so it matches the learning system.

Completion rate

Show finished courses against assigned ones for each team. Then a manager sees the gap without opening the learning system.

Overdue mandatory training

Count required assignments past their due date by team, because those carry the most exposure in an audit.

Training cost by team

Add course fees, outside trainers and travel by cost center. Then managers compare spend with the learning it bought.

Hours per employee

Total the learning hours by team and period. However, read it beside completion, since hours alone say little.

Assessment scores

Average the quiz results by course. Low scores across many teams suggest the content needs work.

Expiring certifications

List employee certifications that lapse within a window you choose, so people book a refresher before the date passes.

Where does the data for a training report come from?

Three sources usually feed the model. The LMS holds courses, enrollments, due dates, scores and certification dates. The HR system holds the people, their managers, their roles and their start dates. Finally, finance or a simple cost log holds course fees.

We join them on an employee key. Then the model can answer by manager, by site or by role. It also handles leavers and transfers, because a person who moved teams should count under the new manager. Headcount, turnover and hiring belong in a Power BI HR dashboard, which can share the same people table.

Some training never reaches the learning system. For example, a toolbox talk may sit on a sign-in sheet. So we add a simple list or form for those sessions, and the model treats them like any other completion.

Mistakes that weaken a Power BI training dashboard

Each of these faults makes a learning report look better or worse than the truth.

  • Counting leavers in the completion rate
  • Mixing optional courses with mandatory ones
  • Showing names to people outside the reporting line
  • Ignoring training held outside the learning system
  • Reporting hours without any measure of outcome
  • Treating an expired certification as complete

How we build a Power BI training dashboard

The work runs in four stages, and you see a demo every week.

  1. Agree the mandatory training

First we list which courses count as mandatory for which roles. That rule drives every overdue figure.

  2. Model people and courses

Next we join LMS records to the HR record around shared date, employee and course tables.

  3. Design the manager view

Then we draft the team page and test it with a few managers, because they know what they need on a Monday.

  4. Secure and document

Finally we add access roles, check them with real accounts and leave notes for your analysts.

Training reporting in Power BI: common questions

Can a Power BI training dashboard show each manager only their team?

Yes. Row-level security filters the data by the reporting line in your HR record. So two managers open the same page and see different people. The mapping lives in a table, which means a transfer updates access on the next refresh. Learning leaders and HR still see the full picture.

Which LMS products can feed a Power BI training report?

Most can, but the route differs. Some systems offer a database or an API, and others offer scheduled exports. We check what your system provides before we quote. Then we choose the simplest route that refreshes on its own. When only manual exports exist, we say so plainly and design around that limit.

How often does the learning report refresh?

That depends on the source and your license. A daily refresh is common, because course completions do not change by the minute. The Power BI service runs the refresh on a schedule, so nobody needs to press a button. If an audit deadline is close, a team can also refresh on demand.

Can a Power BI dashboard track expiring employee certifications?

Yes, when the source holds an expiry date. The model then flags each certification that lapses within a window you choose. Managers see the names, the course and the date. Also, a subscription can email the page on a schedule, so the list reaches people who rarely open a report.
