Guide to emailed reports

Power BI report subscriptions: reports that arrive by email

Power BI report subscriptions send a snapshot of a report page to an inbox on a schedule. Many leaders will not open a portal each morning, but they do read email. So a subscription brings the numbers to them, with a link back to the live report. This guide explains how the feature works, who can subscribe whom, what happens with security and how to stop subscriptions from turning into noise.

  • Scheduled email snapshots
  • Link back to live report
  • Security stays in force

How do Power BI report subscriptions work?

A reader opens a report in the Power BI service and chooses Subscribe. Then the reader picks a page, a frequency and a time. After that, the service emails an image of that page on schedule.

The email also carries a link. One click opens the report itself, where filters and drill-downs work as normal. So the snapshot acts as a prompt, and the live report holds the detail.

Timing deserves thought. A subscription can run at a set time or after the data refreshes. The second choice is safer for a daily report, because the email then always shows fresh figures. Otherwise a late refresh leads to a snapshot of yesterday's data.

Options you can set on each subscription

Six settings shape what lands in the inbox and when.

Page choice

Each subscription covers one report page, or the full report as an attachment where licenses allow.

Schedule

Daily, weekly, monthly or after refresh are the usual choices, while hourly suits operational pages.

Recipients

Owners can add colleagues, provided those people have access to the report.

Current filters

A subscription can keep the filters and slicers that were set when it was created.

Subject and message

A custom subject line then helps readers find the email among many.

Start and end dates

An end date removes itself from the schedule, so temporary needs do not linger.

What happens to security in an emailed report?

This question matters more than any other. A snapshot is a picture, and a picture can travel anywhere once it sits in a mailbox. Therefore think before subscribing people to sensitive pages.

Row-level security adds a wrinkle. When the model uses it, Power BI limits who can subscribe others, since a shared image would reflect one person's view of the data. In that case each reader usually sets up a personal subscription instead.

Administrators hold the wider controls. Tenant settings decide whether email subscriptions exist at all, and whether external addresses may receive them. We review those settings with your admin first. Then nobody builds a process on a feature that policy later switches off.

Habits for useful Power BI report subscriptions

Six habits keep emailed reports read instead of ignored.

  • Design one summary page made for email
  • Send after refresh, not at a fixed hour
  • Match frequency to how often data changes
  • Write a subject that states the content
  • Review the recipient list each quarter
  • Remove subscriptions nobody opens

Setting up Power BI report subscriptions in four steps

These four steps produce a subscription that people actually read.

  1. Build an email page

First create a page with a few large figures, since a snapshot shrinks on a phone.

  2. Check access and policy

Then confirm that every recipient can open the report and that tenant settings allow email.

  3. Create the subscription

Next choose the page, the schedule and the recipients, and write a clear subject line.

  4. Test and adjust

Finally send one run to yourself, read it on a phone and fix what looks cramped.

Questions about subscriptions to Power BI reports

Who can create a Power BI report subscription?

A user with a paid Power BI license can subscribe to reports they can open. On content hosted in a suitable capacity, users with a free license can subscribe themselves too. Subscribing other people needs more rights. We confirm the current rules in Microsoft's documentation, since licensing details change from time to time.

Can a Power BI report subscription attach a PDF or Excel file?

A full report attachment is available when the report sits in a workspace backed by a suitable capacity or license tier. Without that, the email carries an image of one page and a link. Paginated reports offer more attachment formats, again depending on license. So the answer starts with where your workspace is hosted.

Can subscriptions to Power BI reports go to people outside the company?

Sometimes. It depends on tenant settings and on the capacity behind the workspace. Many organizations block external recipients as a precaution. When they allow it, the content still leaves your control once it arrives. We suggest a short review with your security team before sending any figures outside.

Is a subscription the same as a data alert?

No. A subscription sends on a schedule, whatever the numbers say. A data alert fires only when a value on a dashboard tile crosses a threshold you set. So subscriptions suit routine reading, while alerts suit exceptions. Many teams use both. For multi-step reactions, a flow in Power Automate is the next tool.
