Power BI data alerts: get told when a number changes
Power BI data alerts send a notification when a value on a dashboard tile goes above or below a limit you choose. So a manager hears about low stock or a missed target without opening a report. They are simple to set, but they work only on certain tiles and only when data refreshes. Here is how they behave and how to use them well.
- Set on dashboard tiles
- Cards, KPIs and gauges
- Fires after refresh

What are Power BI data alerts?
A data alert is a personal rule on a dashboard tile. You pick a tile, set a condition such as above or below a number, and save it. When the data crosses that line, the service tells you.
The notice appears in the notification center, and you can also choose to get an email. Microsoft documents that only you see the alerts you create. Therefore a colleague looking at the same dashboard sets their own.
Alerts belong to the service and the mobile apps, not to Desktop. Also, they sit on dashboards. For alerts on report visuals, Microsoft points to a separate Fabric feature called Activator.

Where data alerts work and where they do not
Most confusion about alerts comes from trying them on the wrong kind of tile.
| Item | Alert support | Note |
|---|---|---|
| Card tile | Yes | Pinned from a report visual |
| KPI tile | Yes | Tracks a value against a goal |
| Gauge tile | Yes | Shows progress toward a target |
| Chart or table tile | No | Alerts need a single number |
| Text or date value | No | Only numeric data qualifies |
| Report visual | Not with this feature | See Fabric Activator instead |
How often do alerts check the data?
An alert looks at the value when the data refreshes. So if a model refreshes once a night, the alert can fire once a night at most. A stale model never triggers anything.
You also choose how often you want to hear about it. The settings offer at most once an hour or at most once a day. As a result, a number that stays over the limit does not flood your inbox.
This link to refresh is the point most teams miss. Before you rely on an alert for something urgent, check the refresh schedule of the model behind the tile. Then decide whether that rhythm is fast enough.
How to set up Power BI data alerts step by step
The whole setup happens on the dashboard in the service and takes only a few clicks.
Pin the right visual
First, pin a card, KPI or gauge from a report to a dashboard. The tile must show one number, since that is what the rule compares.
Open Manage alerts
Then open the tile's menu and choose Manage alerts. A pane opens where you add a new alert rule for that tile.
Set the condition
After that, give the rule a title, pick above or below and enter the threshold. Also choose the frequency and whether you want an email.
Save and test
Finally, save the rule. To test it, set a limit the current value already passes, then wait for the next refresh.
When are Power BI data alerts the wrong tool?
They suit simple personal watches, such as cash below a floor or tickets above a ceiling. But they do not suit team-wide rules, because each person must create their own. So a shared operational alert needs another route.
Microsoft documents an integration with Power Automate. A flow can start when an alert fires and then post to a channel or create a task. That gives a team one alert with many listeners.
For rules on report visuals or on event streams, Fabric Activator is the feature to study. It has its own requirements, so read the documentation first. License needs for alerts on shared dashboards also vary, and Microsoft Learn lists them.
Power BI data alerts: frequent questions
Can I set Power BI data alerts on any visual?
No. Alerts work on dashboard tiles that come from gauges, KPIs and cards in a report. The value must be numeric, so dates and text do not qualify. Charts and tables cannot carry an alert either, because they show many values. If you need a rule on another visual, create a card for that figure first.
Who receives the alert when it fires?
Only the person who created it. Alerts are personal, so other viewers of the dashboard see nothing. If a whole team needs the message, connect the alert to a Power Automate flow. The flow can then send a Teams post or an email to a group. Otherwise each person sets their own rule.
Why did my data alert not fire?
First, check the refresh. Alerts evaluate only when the data updates, so a failed or infrequent refresh means silence. Then check the tile type and the threshold. Also remember the frequency setting, since it limits notices to once an hour or once a day. Finally, look in the notification center in case the email went missing.
Do Power BI data alerts need a paid license?
It depends on where the dashboard lives. Microsoft notes that you can set alerts in My Workspace, while shared workspaces bring license or capacity requirements. Because those terms change, read the current article on Microsoft Learn. We do not resell licenses, so our view on what you need stays neutral.
Can you design an alerting setup for our dashboards?
Yes. Power BI Agency builds dashboards, alert rules and the flows behind them, in your own tenant. We are a division of Sataware Technologies and independent of Microsoft. The work runs online, with a demo every week. Book the free 30-minute assessment or call (480) 485-7373, and we reply within 2 hours.
