Power BI mobile app: reports and dashboards on your phone

The Power BI mobile app lets people open their dashboards and reports on an iPhone, an iPad or an Android device. It shows the same content as the service, so nothing needs a second build. However, a page made for a wide monitor reads poorly on a phone unless the author prepares it. What follows covers the features, the design work and a sensible rollout.

  • iOS and Android
  • Same content, small screen
  • Alerts on your phone

What can the Power BI mobile app do?

The app connects to your organization's Power BI service after sign-in. People then browse the workspaces, apps and favorites they already have access to. So permissions stay the same as in the browser.

Readers can tap visuals, use slicers and drill into detail, much as they do on a desktop. The app also shows dashboards, which suit a phone well because each tile is a compact summary.

Microsoft documents that the mobile apps can also connect to Power BI Report Server. Therefore companies that host reports on their own servers can still give staff a phone view, as long as the network route allows it.

Features that matter most on a phone or tablet

The apps carry many features, but these six come up most in real use.

Mobile-optimized layout

An author can arrange each report page for a narrow screen. The phone then shows that layout instead of a shrunken wide page.

Data alerts

People set alerts on dashboard tiles and get a notice when a number crosses a limit. So the phone tells them before they think to look.

Favorites

Marking an item as a favorite keeps it one tap away. Because favorites follow the account, they match the list in the browser.

QR code scanning

A report can have a QR code. Scanning it with the app opens that report directly, which helps on a shop floor or in a warehouse.

Location filtering

When a report holds geographic data, the app can offer to filter by the reader's current location. For field staff this saves several taps.

Device management

IT teams can manage the app with Microsoft Intune. As a result, company rules for sign-in and data handling apply on personal phones too.

Do reports need changes for the Power BI mobile app?

They work without changes, but they work far better with a little care. A standard page appears in landscape or as a small image of the full canvas. Text becomes tiny, and people give up.

So create a mobile layout for the pages that matter. In that view the author drags visuals onto a phone-shaped canvas and stacks them top to bottom. Only the chosen visuals appear, which forces a useful question about what is essential.

Dashboards deserve a look as well. They have their own phone view, where tiles stack in a single column. Because a dashboard loads quickly, it often makes the best landing place for mobile readers.

How to roll out the Power BI mobile app to a team

A rollout goes better when the content is ready before people install anything.

  1. Choose the mobile content

First, pick the few reports people truly need away from a desk. A daily sales summary fits, while a forty-column table does not.

  2. Build the phone layouts

Then add a mobile layout to each chosen page. Keep cards and simple charts, since dense visuals are hard to tap.

  3. Agree device rules

After that, decide with IT how sign-in and device management should work. Settle this early, because it affects the install instructions.

  4. Show people the basics

Finally, give a short demo of favorites, alerts and sharing. A few minutes of guidance turns an installed app into a used one.

Limits of reading Power BI on a small screen

A phone is a reading device. People check a number, spot a change and move on. Building or editing reports still belongs on a computer, so set that expectation early.

Platform support also changes over time. For example, Microsoft retired its mobile app for Windows devices, and Windows users now open the service in a browser instead. Check the current list of supported devices before you promise anything.

Finally, some visuals simply do not suit touch. Small slicers, wide matrices and dense scatter charts frustrate people. Instead, give mobile readers bigger targets and fewer choices.

Power BI mobile app questions from business users

Is the Power BI mobile app free to install?

Yes, the app itself comes from the Apple and Google app stores at no charge. However, what you can open depends on your Power BI license and on how your company shares content. Those rules match the browser. License terms change, so check Microsoft's licensing page or ask your admin what your account includes.

Which devices does the Power BI mobile app support?

Microsoft publishes apps for iOS and Android, covering phones and tablets. The Windows mobile app has been retired, so Windows users read reports in a browser. Supported operating system versions move forward with each release. Therefore look at the app store listing or Microsoft Learn for the versions that apply today.

Do I need a separate report for mobile readers?

No. One report serves both audiences. The author adds a mobile layout to each page, and the phone shows that layout by itself. Visuals stay linked to the same data and measures. As a result, you maintain one report, while desktop and mobile readers each see an arrangement that suits their screen.

Can the Power BI app send alerts to a mobile phone?

Yes. Data alerts on dashboard tiles send a notification to the app when a value passes the limit you set. They work on certain tile types, such as cards, KPIs and gauges. Also, alerts only fire when the data refreshes, so a stale model stays silent. Plan the refresh schedule with that in mind.
