Power BI themes: one style for every page of a report
Power BI themes apply design choices to a whole report at once, including colors, text styles and the default look of each visual. So a team sets its style one time instead of formatting every chart by hand. A theme also travels as a small file, which means many reports can share it. Below you will find how themes work and how to roll one out.
- One style, every page
- A small JSON file
- Shared across reports

What do Power BI themes control in a report?
A theme is a set of defaults. It holds the data colors, the text settings and the starting format for visuals, pages and filters. When an author applies it, every visual takes those defaults as its style.
There is one important exception. If someone formatted a visual by hand, that choice stays in place. The theme does not replace it until the author resets the visual to default. Therefore a report with years of manual formatting may change less than expected.
Microsoft describes two layers. The base theme sits underneath, and a custom theme sits on top and overrides or adds to it. As a result, a custom file only needs to list the settings that differ.

Built-in, custom and organizational themes compared
The theme gallery can show three kinds, and each one has a different owner.
| Kind of theme | Where it comes from | Best use |
|---|---|---|
| Built-in theme | Ships with the product | A quick, tidy starting point |
| Customized theme | The Customize theme pane | Small changes without editing a file |
| Theme file | A JSON file you import | Full control over visual defaults |
| Organizational theme | Added by a tenant admin | One approved style for all authors |
| Community theme | The online theme gallery | Ideas to study before building your own |
Where do you apply and edit a report theme?
In Power BI Desktop the theme gallery sits on the ribbon, and Microsoft Learn currently places it on the Design ribbon. In the service, an author opens the Theme option from the View menu while editing a report. Both routes lead to the same kinds of themes.
The Customize theme option opens a pane for colors, text, visual properties, page defaults and filter formatting. It covers common needs, but it does not reach every setting. So teams that want tight control edit the JSON file instead.
Finally, the download option exports the current theme as a file. That file can then go into another report or into source control beside the report itself.
How to roll out Power BI themes across a team
A theme only helps if authors use the same one, so treat the rollout as a small project.
Agree the brand basics
First, settle the colors, the font and the text sizes. Also check the color contrast, because a pale palette is hard to read on a projector.
Build and test the file
Then create the theme and apply it to a real report. Look at each visual type in turn, since a default that suits a bar chart may not suit a table.
Publish it for authors
After that, ask a tenant admin to add it as an organizational theme. It then appears in the gallery for every author, so nobody hunts for a file.
Reset old formatting
Finally, clear manual formatting on older reports where it fights the theme. This takes time, so start with the reports that people open most.
Why Power BI themes beat formatting each visual by hand
Manual formatting feels fast on the first page. But the tenth report has drifted, and each author picked a slightly different blue. Readers notice, even if they cannot say why, and the reports look less reliable.
A shared theme removes that drift. Because the defaults arrive with the file, a new visual already looks right when it lands on the canvas. Authors then spend their time on the message instead of on font sizes.
There is also a maintenance gain. When the brand changes, one edited file updates every report that imports it again. Still, a theme cannot fix a poor layout, so pair it with a simple page template.
Power BI themes: common questions
Are Power BI themes stored inside the report file?
Yes, the applied theme travels with the report. You can also export it as a separate JSON file and import that into other reports. Because the file is plain text, it fits well in source control. So a team can track each change to its house style in the same way it tracks changes to code.
Why did a theme not change some visuals?
Those visuals almost always carry manual formatting. A theme sets defaults, while a setting made in the format pane wins over the default. To bring the visual into line, use the reset to default option for that setting. After that, the visual follows the theme again, and later theme updates will reach it as well.
Do Power BI themes apply to dashboards too?
Report themes belong to reports. Dashboards in the service have their own, simpler theme option, so the two do not link. For that reason, a tile pinned from a report can look different on a dashboard. Check Microsoft Learn for the current dashboard options before you promise a fully matched look.
Can an admin give every author the same theme?
Yes. Microsoft documents organizational themes, which a tenant admin adds for the whole organization. They then show up in the theme gallery next to the built-in ones. However, authors still have to choose the theme in each report. So add the step to your report checklist or start new work from a template.
Can someone set up our report theme for us?
Yes. Power BI Agency, a division of Sataware Technologies, builds theme files and page layouts. The team is small and independent of Microsoft. We deliver the work online in your own tenant and show progress in weekly demos. A free 30-minute assessment is the first step.
