Power BI Microsoft Forms integration for survey responses

Power BI Microsoft Forms integration turns survey and quiz responses into reports that show trends, not single answers. Microsoft's Power Query connector list has no dedicated Forms connector. So responses travel through a store that Power BI can read: an Excel workbook, a SharePoint list or a database table. Since all of these sit inside Microsoft 365, the setup stays simple.

  • Excel or SharePoint route
  • Power Automate option
  • Multi-choice answers split

How does Power BI Microsoft Forms integration move responses?

Forms can open its responses in an Excel workbook. Depending on how the form began, that workbook lives in OneDrive or on a SharePoint site. Power BI then reads the workbook with its Excel or SharePoint folder connector.

Power Automate offers a second route. A flow starts when somebody submits a response and writes the answers to a SharePoint list or a table. After that, Power BI reads the list with the SharePoint Online list connector.

Both routes import data. So the report updates on a refresh schedule, not the second a person presses submit. For most surveys that is fine, because people review results daily or weekly. Still, the choice of store matters more over time, since a form that runs for years needs a home that outlasts its first owner.

Three routes from Microsoft Forms into Power BI

We choose by survey size and by how long the form will stay in use.

Excel workbook

The quickest start. It suits a single survey, but a moved or renamed file breaks the link.

SharePoint list

A flow adds one item per response. Then the data has a stable home with its own permissions.

Database table

A flow writes to a table instead. This suits surveys that run for years and feed several reports.

Why do Forms responses need reshaping for Power BI?

A response sheet has one row per person and one column per question. That layout reads well, but it charts badly. For example, a chart of average scores by question needs questions as rows, not columns.

So Power Query unpivots the sheet. After that, each row holds a response, a question and an answer. Then one visual can compare every question, and a slicer can switch between them.

Multiple-choice questions add a twist. When a person ticks several options, Forms stores them together in one cell. Therefore we split that cell into separate rows and count options, while a distinct count keeps the number of respondents right.

Pitfalls in a Power BI Microsoft Forms integration

Survey reports usually stumble on one of these six points.

  • An edited question renames a column
  • The workbook sits in one person's OneDrive
  • Multi-select answers stay in one cell
  • Rating text never becomes a number
  • Test responses remain in the data
  • Anonymous surveys reveal small groups

Our steps for Power BI Microsoft Forms integration

Four short stages, with a demo each week, cover a typical survey project.

  1. Read the form

First we go through each question type and ask what decision the answers support.

  2. Agree scope in writing

Then the quote states the route, the measures and the pages.

  3. Shape the responses

We unpivot, split and type the data, then build the model in your tenant.

  4. Protect respondents

Finally, we hide results for very small groups, because anonymity matters in staff surveys.

Questions about Microsoft Forms responses in Power BI

Does Power BI have a native Microsoft Forms connector?

We found no dedicated Forms connector on Microsoft's Power Query connector list. So Power BI reads the responses from where they land instead. That is usually an Excel workbook in OneDrive or SharePoint, or a SharePoint list that a Power Automate flow fills. Microsoft documents connectors for each of those stores.

Can a Forms report in Power BI update in real time?

Not with the usual routes. Excel and SharePoint sources import data, so the report shows new responses after the next refresh. A schedule in the Power BI service handles that. For an event where live results matter, Forms shows its own summary page, and that is often enough.

What happens when someone edits a question?

The column name in the response store can change, and then a query step fails. So we refer to columns in a way that survives small edits where possible. We also suggest that form owners freeze the wording once a survey is live. New questions are safer than changed ones.

Can Power BI combine several surveys over time?

Yes. When each survey uses the same question set, Power Query appends the response tables and adds a survey date. Then a line chart shows how scores move between rounds. However, the questions must keep stable IDs or wording. We add a small mapping table when they do not.
