Power BI SharePoint integration for lists, files and pages
Power BI SharePoint integration works in two directions. First, Power BI can read SharePoint lists and the Excel or CSV files kept in document libraries. Second, a finished report can sit inside a SharePoint Online page for staff to open. Microsoft provides connectors for folders and lists, so no extra software is involved. But file habits and list design decide how stable the refresh will be.

- Reports inside pages
- No gateway for online

What can Power BI SharePoint integration do?
Many teams already keep trackers, budgets and logs in SharePoint. So it is often the quickest source to connect. Power BI Desktop offers a SharePoint folder connector for files and two list connectors, one for SharePoint Online and one for SharePoint Server.
Each connector asks for the site address, not the address of a folder or a list view. Then you sign in with a Microsoft account and choose what to load. For SharePoint Online, the Power BI service refreshes directly, without a gateway.
The other direction is display. A Power BI web part lets an editor place a report on a modern SharePoint page. Viewers still need a Power BI license and access to that report, because the page only frames it.

Ways SharePoint content feeds a report
These six patterns cover nearly every need of SharePoint users.
Single Excel workbook
One budget or target file loads as a table, and edits appear after the next refresh.
Folder of monthly files
Power Query combines every file in a library folder, so a new month only needs a new file.
SharePoint list
Issue logs and request lists load with their columns, while choice and person fields need a little shaping.
Lookup tables
Small mapping lists let business users maintain groupings themselves instead of asking for a model change.
Report on a page
The Power BI web part then shows a report next to team news and documents.
Report files in a library
A report file saved in a library can sync to a workspace, which helps small teams keep one copy.
Why do SharePoint file refreshes break?
Files are fragile sources. Someone renames a sheet, adds a title row or moves the workbook, and the query fails that night. Therefore the first job is to agree a fixed layout with the people who own the file.
The folder connector has its own trap. It lists every file in the whole site before you filter. So on a large site the preview crawls. We filter by folder path as the first step, which cuts the list early.
Lists behave better, but they have limits too. Very large lists load slowly, and person or lookup columns arrive as records that need expanding. When a list grows past what SharePoint handles well, a proper database is the honest answer. Help with that move is part of Power BI data integration services.
Checks for a Power BI SharePoint integration
Run through these points before building, because each one causes refresh errors later.
- Use the site address, not a folder link
- Keep workbook sheets and tables under fixed names
- Filter the folder list by path as step one
- Store files in a team site, not a personal drive
- Expand person and lookup columns with care
- Confirm viewers hold access to the embedded report
How we build a Power BI SharePoint integration
Four short stages move the work from loose files to a steady report.
Find the real sources
First we list which files and lists people update, who owns each one and how often it changes.
Agree file rules
Then we fix a template for each workbook, so column names and sheet names stay the same every month.
Connect and combine
Next we build the queries, combine folder files with a tested pattern and shape list columns.
Publish and embed
Finally the report goes to a workspace, refresh runs on a schedule and the web part lands on your page.
Questions on SharePoint data and Power BI reports
Does Power BI need a gateway for SharePoint Online?
No. SharePoint Online is a cloud source, so the service signs in with an organizational account and refreshes on schedule. SharePoint Server inside your own network is different. In that case the on-premises data gateway relays the connection. We note which version you run at the start, since it changes the setup.
Can I embed a Power BI report in a SharePoint page?
Yes, on modern pages in SharePoint Online. An editor adds the Power BI web part and pastes the report link. However, the web part does not grant access by itself. Each viewer needs a suitable license, or the report must sit on a capacity, and the report has to be shared with them.
Is a SharePoint list a good long-term data source?
For small, hand-kept data it works well. People edit rows in a familiar screen, and Power BI picks up changes at refresh. But lists are not databases. As row counts climb, loading slows and views hit thresholds. So we treat a list as a starting point and plan a move once it grows.
How fresh is file data in a report?
It is as fresh as the last refresh. Import mode copies the file content into the model on a schedule you choose, within the limits of your license. Therefore an edit made at noon shows after the next run. When people need to see changes sooner, a manual refresh is possible from the workspace.
Can Power BI Agency tidy an existing SharePoint integration?
Yes. Some reports already read SharePoint but fail often. We review the queries, the file layout and the refresh history, then fix the weak points. The work is remote and happens in your own tenant. It starts with a free thirty minute assessment and a written scope.
