Power BI data integration services that join your systems
Power BI data integration services connect separate business systems to one shared model, so a report can combine sales, finance and operations in a single view. The work covers connectors, gateways, Power Query transformations, dataflows and refresh. Power BI Agency builds these connections inside your own Microsoft tenant, fixes the list of sources in a written quote and demos progress weekly.
- Many sources, one model
- Refresh that holds up
- Keys matched across systems

What do Power BI data integration services involve?
Most companies keep data in several places. The ERP holds orders, the CRM holds customers and a spreadsheet holds targets. Each system is fine alone. However, the useful questions cut across all of them.
Integration starts with access. Power Query offers a long list of connectors, and Microsoft documents each one. So the first step is to check which route exists for every source you name.
Then comes the harder part: making the data agree. Customer codes differ between systems, and dates follow different rules. Because a report is only as good as those joins, we spend real time on them. For example, a Power BI customer profitability analysis needs sales, cost and CRM data joined on the same customer key.

Which Power BI connection route fits which data source?
The right route depends on where the source lives and what access it offers.
| Source situation | Usual route | Point to check |
|---|---|---|
| Cloud database or warehouse | Built-in connector | Import or DirectQuery mode |
| Database inside your network | Connector plus data gateway | Gateway placement and upkeep |
| Cloud application with a listed connector | Built-in connector | Which tables the connector exposes |
| Application with an API only | Web or custom connection | Paging, limits and sign-in method |
| Files in SharePoint or OneDrive | Folder or file connector | Stable file names and layouts |
| Several reports need one cleaned table | Dataflow | Who owns and refreshes it |
What our Power BI data integration services deliver
Every integration project hands over these six things.
Source inventory
A short list names each system, its owner and the access method, so nothing is assumed.
Working connections
Each source loads through a documented route. Then credentials sit with an account you control.
Cleaning steps
Power Query steps fix types, names and gaps. We keep them readable for the next person.
Matched keys
Mapping tables link codes across systems, because mismatched keys cause most wrong totals.
Refresh schedule
Loads run at agreed times, and failure emails go to a named owner.
Integration notes
A plain document explains every source and rule. As a result, changes later take less time.
Why do Power BI data integration projects run into trouble?
The tool is rarely the cause. More often a source turns out to be messier than anyone thought. For example, a status field holds free text, or old records break the pattern.
Ownership is another weak spot. When nobody owns a source, nobody can explain its odd values. So we ask for a named contact per system before we quote.
Finally, volume catches people out. A load that works on a sample can stall on full history. Therefore we test with real volumes early and use query folding where the source supports it.
How Power BI data integration services run with us
Four stages take the work from a source list to a refreshed model.
Source review
During the free assessment we list your systems, and then we confirm the access route for each.
Written scope
The quote names every source and table in scope, so both sides know where the work ends.
Connect and shape
We build the connections and cleaning steps in your tenant and show the loaded data each week.
Reconcile and schedule
Finally, we match totals to each source system and set the refresh schedule.
Data integration questions for Power BI projects
Can Power BI integrate data from a system without a connector?
Usually there is still a route. Many systems offer an API, an ODBC driver or a scheduled export. Sometimes a staging database sits in between. However, each route has limits, so we test it before we promise anything. The quote then states the method in plain words.
Do we need a data warehouse before Power BI integration?
Not always. A handful of modest sources can load straight into a model through Power Query. Still, many sources or heavy history often justify a warehouse or lakehouse underneath. We look at your volumes and explain which path fits, and why, before you commit.
Where does our data go during the integration work?
We build inside your own Microsoft tenant, and credentials remain with accounts that you control. Because we do not copy data to our side, there is nothing to delete afterwards. Your security team can also review the gateway and connection setup at any point.
How do you keep integrated data correct over time?
First we reconcile totals against each source before go-live. Then we leave simple checks in place, such as row counts and control totals. When a source changes, those checks fail loudly instead of passing bad numbers. The handover notes also explain what each check means.
Who does the work, and how do we begin?
A small team at Power BI Agency does it. We are a division of Sataware Technologies and independent of Microsoft. The service runs online. Call (480) 485-7373 or send the form. We reply within 2 hours and book the free thirty minute assessment.
