Power BI REST API integration, in both directions
Power BI REST API integration means two different things, and projects go wrong when nobody says which. First, Power BI can read data from another system's REST API through the Web connector. Second, Power BI has its own REST API, which other programs call to refresh models or manage workspaces. So this page covers both, and it explains where each one fits.
- Web connector for sources
- Paging and sign-in solved
- Automation through the API

How does Power BI REST API integration read a source?
The Web connector in Power Query requests an address and receives a reply, usually JSON. Power Query then expands that reply into rows and columns. So any system with a documented REST API is a possible source.
Sign-in is the first hurdle. The connector supports anonymous, basic, API key and organizational account methods. However, many vendors use OAuth flows that the generic connector cannot complete. In that case, a custom connector or a staging job is the honest answer.
Paging is the second hurdle. Most APIs return a limited number of records per call. Therefore the query needs a function that keeps requesting pages until none remain.

Four routes for REST data, compared
Each route suits a different size and kind of source.
| Route | Works well when | Watch for |
|---|---|---|
| Web connector query | The API is simple and volumes are small | Paging, limits and refresh checks |
| Custom connector | Several reports need the same source | It needs a gateway to refresh in the service |
| Staging database | History or large volumes matter | A job to run and monitor |
| File drop | The vendor only offers exports | Layout changes and manual steps |
| OData feed | The source publishes OData | Not every REST API is OData |
Why do API queries refresh in Desktop but fail online?
This is the most common surprise. A query builds its address from text pieces, and it runs fine in Desktop. Then the service refuses to refresh it and reports a dynamic data source.
The cause is simple. Before a refresh, the service checks which sources the query uses. If the address is assembled at run time, it cannot tell. So the fix is a fixed base address, with changing parts passed through the relative path and query options.
Credentials need similar care. For example, a key placed in the address can leak into logs. Therefore we pass keys in headers or use the connector's key setting. Also, we test the refresh in the service early, not on the last day.
Jobs Power BI REST API integration can automate
These use Power BI's own REST API, called from a script or a pipeline.
- Start a model refresh after a data load ends
- Read refresh history and raise an alert on failure
- List workspaces, reports and semantic models
- Add or remove workspace users
- Export a report to a file on a schedule
- Embed reports inside another application
Our Power BI REST API integration process
Four stages apply whichever direction the project runs.
Read the documentation
First we study the API's sign-in, paging and limits, because those decide the route more than anything else.
Prove it small
Then we build one endpoint end to end and refresh it in the service. The written scope follows that proof.
Build the rest
We add the remaining endpoints and the model in your own tenant, and we show progress at each weekly demo.
Explain it
Finally, we document every call, credential and schedule, so your team can change them later.
Questions about REST APIs and Power BI
Can Power BI connect to any REST API?
It can connect to many, but not all. The Web connector handles open, basic and key-based sign-in well. However, some OAuth flows need a custom connector or a job outside Power BI. Also, very large or slow APIs suit a staging database better. We test before we promise.
What is the Power BI REST API used for?
It lets programs manage Power BI without a person clicking. For example, a pipeline can start a refresh, check its status and list workspace content. Administrators use it for inventory and access reviews. Developers use it to embed reports. Microsoft documents every operation on its Learn site.
Does a REST API source in Power BI need a gateway?
A public cloud API usually does not, since the service can reach it directly. However, an API inside your network does. Custom connectors also refresh through a gateway. So the answer depends on where the API lives and how the query connects. We confirm it during the proof stage.
Who should own the service identity?
An administrator should, not a developer's personal account. Automation through the REST API often uses a service principal. Therefore your tenant settings must allow it, and its permissions should cover only the workspaces it needs. We write down what we requested and why.
How does an engagement with Power BI Agency begin?
It begins with a free 30-minute assessment. After that, you receive a fixed scope in writing. Power BI Agency is a division of Sataware Technologies and is independent of Microsoft. A small team delivers the work online. Call (480) 485-7373, and we reply within 2 hours.
