Power BI Power Apps integration that turns insight into action
Power BI Power Apps integration lets people act on a number without leaving the report. Microsoft provides a Power Apps visual that places a canvas app on a report page, and the app receives the rows a reader selects. So a manager can approve, comment or correct a record on the spot. Also, an app can show Power BI content to its own users.
- App inside a report
- Context passes to the app
- One shared data store

How does Power BI Power Apps integration work on a report page?
A report author adds the Power Apps visual and chooses the fields to pass. Then the visual opens an existing app or starts a new one. Inside the app, the chosen fields arrive as a small table that follows the reader's filters.
The app does the writing. For example, it can save a comment to Dataverse or update a status in a SharePoint list. Power BI itself stays read-only, which keeps the model safe.
What the reader sees next depends on the storage mode. With DirectQuery, the visuals can show the new value after a refresh of the page. With Import, the change appears after the next scheduled refresh, so we set that expectation early.

Three patterns that pair a report with an app
Most combined report and app needs fit one of these shapes.
Comment and explain
A reader selects a variance and types the reason. Because the note lands in a table, the next reader sees it beside the figure.
Approve or reject
A row in the report needs a decision. So the app shows the detail and records the choice with the person's name.
Correct the source
A wrong category spoils a chart. Instead of mailing the data owner, the reader fixes it through a form with proper checks.
Where should the shared data live?
Both tools need a store they can each reach. Dataverse is the natural home in the Power Platform, and Power BI has a documented connector for it. However, SharePoint lists and SQL databases also work for simpler cases.
We choose by looking at volume and rules. A short list of comments is fine in SharePoint. But approvals with audit needs belong in Dataverse or a database, because those stores handle security and history better.
Licenses deserve a plain word too. An app inside a report still needs its users to hold the right Power Apps license. Since those terms change, we point you to Microsoft's current guidance and do not sell licenses ourselves. A wider license check is part of Power BI license optimization.
Risks to avoid in Power BI Power Apps integration
A combined report and app has more moving parts, so these checks matter.
- The app writes to a table the report never reads
- Readers expect instant updates from an Import model
- App permissions differ from report permissions
- Too many fields pass into the app at once
- Nobody owns the app after the project ends
- The app and report sit in different environments
Our Power BI Power Apps integration method
We deliver in four stages and show the working page at a weekly demo.
Pick one action
First we agree the single action readers most want to take from the report. Small scope makes the first release useful.
Design the data path
Then we draw where the app writes and how the model reads it back. The written quote includes that drawing.
Build both halves
We build the app and the report page together in your own tenant, so each side fits the other.
Train the owners
Finally, we walk your makers through both pieces, because they will extend the app long after handover.
Questions about using Power Apps with Power BI
Can a Power BI report write data back through Power Apps?
Yes, in effect. The report stays read-only, but the embedded app writes to a data source such as Dataverse. Then the report reads that source again. So the reader experiences it as write-back. How soon the change shows depends on whether the model uses Import or DirectQuery for that table.
Is the Power Apps visual part of Power BI?
Microsoft documents a Power Apps visual for Power BI reports, and authors add it from the visualizations pane. It hosts a canvas app and passes selected data to it. However, some limits apply, for example around where the visual works. We check Microsoft's page for the current list before we design around it.
Can Power BI content appear inside a Power Apps app?
Yes. A canvas app can show a Power BI tile, and model-driven apps can embed reports and dashboards. As a result, staff who live in the app see key figures without switching tools. We decide which direction suits you by asking where people spend most of their day.
Do we need developers for this kind of work?
Not in the classic sense. Both tools are low-code, so a capable analyst can maintain the result. Still, the first design benefits from experience, because data paths and permissions are easy to get wrong. Our consultants build it with your team and then hand it over with notes.
