Salesforce and Power BI

Power BI Salesforce integration for sales numbers people trust

Power BI Salesforce integration is the link that brings accounts, opportunities and cases from Salesforce into Power BI reports. Microsoft ships two connectors for it, one for objects and one for saved reports. So the data can sit beside finance and operations figures in a single model. The right choice depends on volume, custom fields and how fresh the numbers must be.

  • Two native connectors
  • Pipeline beside finance
  • Read-only by design

How does Power BI Salesforce integration work?

Power BI reaches Salesforce through its API. The Salesforce Objects connector reads tables such as Account, Opportunity, Lead and Case. The Salesforce Reports connector instead reads reports that someone already saved in Salesforce. Both appear in the Get Data list in Power BI Desktop.

You sign in with a Salesforce account, and Power BI then uses that account's rights. So a user who cannot see a field in Salesforce will not see it in Power Query either. Because of that, most teams create a separate integration user with read access.

Both connectors load data in Import mode. As a result, reports show the data as of the last refresh, not live. For most sales reporting that is fine, since pipeline reviews happen daily or weekly.

Salesforce data that reports can use

Most sales and service models start with these six areas, and custom objects come across too.

Accounts and contacts

Customer records give every report its who, so revenue and cases roll up by segment, owner or region.

Opportunity pipeline

Stages, amounts and close dates feed the funnel, while stage history shows where deals stall.

Leads and campaigns

Marketing sees which sources turn into pipeline, because lead and campaign tables join on shared keys.

Cases and service

Support teams then track open cases, response times and backlog by product or priority.

Users and roles

The owner hierarchy lets a model filter rows by manager, so each leader sees their own team.

Custom objects and fields

Anything your admin added shows up through the objects connector, as long as the sign-in account can read it.

Which Salesforce connector should a team pick?

Pick the objects connector for most models. It reads raw tables, so you control joins and measures yourself. It also handles far more rows than the reports route.

The reports connector looks easier at first, because the shaping already happened in Salesforce. However, the Salesforce Reports API caps how many rows a report returns. Therefore large reports come back short, and nobody sees a warning on the dashboard.

A third route suits heavy use. Some companies copy Salesforce data into a warehouse first and point Power BI at that. This costs more to set up. Still, it removes API pressure and keeps history that Salesforce itself overwrites.

Pitfalls a Power BI Salesforce integration should avoid

These issues cause most failed refreshes and wrong totals, so check them before building pages.

  • A Salesforce edition without API access turned on
  • The reports connector cutting rows at the API cap
  • Loading every object instead of the few needed
  • Picklist changes that break hard-coded filters
  • Currency fields mixed without a conversion table
  • Session rules that block the refresh sign-in

How we set up Power BI Salesforce integration

The setup follows four stages, and each one ends with a short demo.

  1. Check access and limits

First we confirm the edition allows API calls and create a read-only integration user with the right field access.

  2. Choose objects and shape

Then we load only the needed objects, drop unused columns and build a star schema around opportunities or cases.

  3. Build measures and security

Next come measures for pipeline, win rate and cycle time, plus row-level rules that follow the owner hierarchy.

  4. Schedule and hand over

Finally we set the refresh schedule in the service, test a failure alert and walk your team through the model.

Questions about connecting Salesforce to Power BI

Does a Power BI integration with Salesforce need a gateway?

Usually not. Salesforce is a cloud service, so the Power BI service can reach it directly with stored credentials. A gateway only enters the picture when the same model also reads an on-premises source, such as a local SQL Server. In that case every source in the model has to work with the gateway setup.

How often can Salesforce data refresh in Power BI?

That depends on the license behind the workspace, because Microsoft sets a daily limit on scheduled refreshes. Shared capacity allows fewer runs per day than Premium or Fabric capacity. Salesforce also counts API calls, so very frequent refreshes of large objects can use up the allowance. We size the schedule to both limits before go-live.

Can Power BI write data back to Salesforce?

No, the connectors only read. Power BI is a reporting tool, so changes to records still happen in Salesforce. However, a report can link each row back to its Salesforce record, which makes follow-up quick. When a team needs write-back, that calls for Power Apps or Power Automate next to the report, which is a separate piece of work.

Do custom fields come through the connector?

Yes. The objects connector lists custom objects and custom fields next to the standard ones, and their names carry a double underscore suffix. They only appear when the sign-in account has read access to them. So if a field seems to be missing, check field-level security in Salesforce first, then refresh the preview.

Who does the Salesforce integration work at Power BI Agency?

One of our consultants does it, from the first call to the handover. Power BI Agency is a small team and a division of Sataware Technologies, independent of both Microsoft and Salesforce. The work happens inside your own Microsoft tenant, so the model and reports stay yours. You also see progress at a demo every week.
