SAP and Power BI

Power BI SAP integration through HANA and BW

Power BI SAP integration opens ERP and warehouse data to business users who do not work in SAP screens all day. Microsoft lists native connectors for SAP HANA and for SAP Business Warehouse, and both support import and DirectQuery. So the route exists. However, SAP models carry their own logic for hierarchies, variables and currencies. A sound integration respects that logic instead of rebuilding it badly.

  • HANA and BW connectors
  • Drivers and gateway
  • SAP logic respected

How does Power BI SAP integration connect?

There are two main doors. The SAP HANA database connector reads calculation views and tables in HANA. The SAP BW connectors read queries and InfoProviders, either through an application server or a message server.

Both need SAP client software on the machine that connects. For HANA that is an ODBC driver. For BW it is a connector library from SAP. Therefore the same software must sit on the gateway machine, since scheduled refresh runs from there.

Most SAP systems live inside a company network. So the on-premises data gateway is part of nearly every setup. We plan it with your SAP basis team early, because access requests in SAP landscapes take time.

SAP sources that reports draw on

Where the data sits decides the connector, so we map these six areas first.

HANA calculation views

Modeled views expose measures and attributes that already follow SAP's business rules.

BW queries

Queries carry variables, restricted key figures and hierarchies, so finance sees familiar structures.

S/4HANA data

ERP data usually reaches reports through released views or a warehouse layer, not raw tables.

OData services

Some teams expose selected data as services, which Power BI then reads with its OData connector.

Extracts to a lake

Large groups often copy SAP data to a cloud platform first, because many tools need it.

Master data

Materials, customers and cost centers give every figure its context and its hierarchy.

Should SAP data use import or DirectQuery?

Import copies a result into the model. It gives fast visuals and free use of DAX. For BW, import of a well-scoped query is often the most stable choice.

DirectQuery leaves data in SAP and sends a query per visual. This suits HANA views with huge volumes or strict security in the source. But SAP sources add limits under DirectQuery. For example, some calculations and visuals behave differently, and Microsoft documents those points per connector.

There is no single right answer. So we test one real report in both modes and time it. We also check how variables and hierarchies come through. After that, the decision rests on evidence, and your SAP team knows what load to expect. For a single source, the Power BI SAP BW integration and Power BI SAP HANA integration pages go deeper. Finance models from SAP often feed a Power BI profit and loss report.

Pitfalls that hurt a Power BI SAP integration

These six problems explain most slow or wrong SAP reports we review.

  • Reading raw ERP tables instead of released views
  • Summing key figures that must not be added
  • Ignoring mandatory variables in a BW query
  • Flattening hierarchies into loose text columns
  • Mixing currencies without a conversion rule
  • Driver versions that differ between laptop and gateway

How we run a Power BI SAP integration

Four stages keep the work predictable, and SAP owners approve each one.

  1. Find the right objects

First we work with your SAP team to name the views or queries that already hold trusted figures.

  2. Prepare drivers and gateway

Then we install matching client software and set up the gateway with a technical user.

  3. Prototype both modes

Next we build one report twice, by import and by DirectQuery, and compare speed and behavior.

  4. Validate with finance

Finally we check totals against SAP reports for closed periods, so trust is earned before rollout.

Questions about SAP data in Power BI reports

Does Power BI have a native SAP connector?

Yes, several. Microsoft's connector list includes SAP HANA database, SAP BW Application Server and SAP BW Message Server. Each needs SAP client software that you download under your own SAP license. There is no single connector for every SAP product, though. So the first task is to learn where your reporting data actually sits.

Is an SAP integration with Power BI possible without a gateway?

Only when the SAP system is reachable from the cloud, which is rare. Most HANA and BW systems sit on private networks. Therefore the on-premises data gateway carries refresh and DirectQuery traffic. We size it for the expected load and suggest a second node when reports are business critical.

Can Power BI read S/4HANA tables directly?

Technically a HANA connection can see tables, but that is rarely wise. Raw ERP tables are cryptic, and SAP license terms may restrict direct database access. Released views, BW queries or OData services are the safer doors. We ask your SAP team which of these they support, then design around that answer.

Do SAP authorizations apply in Power BI?

They can under DirectQuery with single sign-on, where SAP sees each viewer. That setup needs Kerberos or a similar method and careful testing. With import, SAP roles do not travel into the model. In that case we mirror the key rules with row-level security in Power BI and agree who maintains them.

How long has your team worked on SAP reporting?

We prefer not to quote figures we cannot show you. Instead, judge us on the assessment call. It is free and takes thirty minutes. You describe your SAP landscape, and one of our consultants explains how we would approach it. Afterwards you receive a written quote with a fixed scope.
