Power BI Shopify integration for store and margin reporting
Power BI Shopify integration helps a store owner see orders, refunds, stock and margin in one place, next to ad spend and accounting. Microsoft's Power Query connector list does not include Shopify, so nobody should promise a native connector. The data comes through the Shopify Admin API, file exports or a staging database instead. Done well, the result goes further than the store's built-in analytics.
- Admin API route
- Net sales defined once
- Multi-store ready

How does Power BI Shopify integration get its data?
Shopify holds orders, products, customers and inventory behind its Admin API. A custom app in the store admin grants read access and issues a token. After that, a program can request the data it needs.
For a young store, exports may be enough. Shopify lets staff export orders and products as files. Power BI then reads those files from a shared folder. But someone has to run the export, and that habit fades.
A growing store needs automation. So a scheduled job calls the API, including its bulk option for large pulls, and stores the results in a database. Power BI connects to that database natively. Therefore refresh no longer depends on API speed or on a person.

Store data that belongs in the model
These six tables answer most questions a merchant asks each week.
Orders and line items
Each line holds product, quantity, price and discount, which is the grain every sales measure needs.
Refunds and returns
Refund lines reduce sales on their own date, so net figures stay honest.
Products and variants
Variant records carry size, color and cost, while product type and vendor group the catalog.
Customers
First and repeat orders per customer then show retention without a separate tool.
Inventory levels
Stock by location reveals what sells out and what sits, because levels join to variants.
Payouts and fees
Payment data explains the gap between sales and cash that reaches the bank.
Why do store totals rarely match at first?
Shopify has its own definitions for gross sales, discounts, returns, net sales, shipping and taxes. A raw sum of order totals matches none of them. So the first draft of any report disagrees with the store admin.
Timing causes the next gap. A refund belongs to the day it happened, not to the order date. Also, the store reports in its own time zone, while API timestamps arrive in a universal one. As a result, daily totals shift by a few orders.
We settle the definitions in writing before building. Then each measure follows the agreed rule, and a test page compares Power BI with Shopify's finance summary. Once those two agree, people stop arguing about the numbers.
What a Power BI Shopify integration should answer
A good model answers these six questions without a spreadsheet on the side.
- Net sales by day, channel and product
- Margin after discounts and cost of goods
- Repeat purchase rate by first product bought
- Stock cover for the best sellers
- Refund reasons by product and variant
- Sales across several stores in one currency
How we build Power BI Shopify integration
Four stages turn store data into a dependable report set.
Agree the definitions
First we write down what net sales, margin and a returning customer mean for your store.
Set up the load
Then we create the custom app, schedule the API pull and land the data in a staging database.
Model and measure
Next we build the star schema around order lines and add cost, currency and date logic.
Compare and release
Finally we test totals against the Shopify finance summary, so launch day holds no surprises.
Questions about Shopify data and Power BI
Is there a native Shopify connector for Power BI?
No. We checked Microsoft's connector list, and Shopify is not on it. Therefore the honest routes are the Admin API, file exports or a staging database. Some third-party connectors also sell a ready link. They can suit a small store, although they add a subscription and pass your order data through another company.
Can a Power BI integration cover several Shopify stores?
Yes. Each store loads with its own label, and shared product and date tables sit above them. Currency is the main task, since stores often sell in different ones. We add an exchange rate table and agree which rate applies. After that, one report shows each store alone or the group together.
Does Shopify store cost of goods for Power BI margin reports?
Shopify has a cost per item field on variants. Many merchants fill it only partly, and it holds the current cost, not the cost at sale time. So margin can be misleading. When accuracy matters, we bring cost from the accounting or inventory system instead and join it by variant code.
How current is the data?
As current as the schedule. The load job can run several times a day, and Power BI refreshes right after it, within the limits of your workspace license. For most merchants a morning refresh covers the need. During a big sale, extra runs through the day are easy to add.
What does working with Power BI Agency look like?
It begins with a free call of thirty minutes and a written scope. One of our consultants then builds inside your own Microsoft tenant and shows progress weekly. We work remotely. Because we are independent and sell no licenses or apps, our advice on routes stays neutral.
