Power BI Stripe integration for payments and subscriptions

Power BI Stripe integration turns charges, refunds, fees and subscriptions into revenue reporting that finance can reconcile. Microsoft's connector list has no Stripe entry today, so we describe no built-in connector. Instead, the Stripe API feeds a staging database, or report exports land in a folder. Then the model separates gross sales, fees and payouts, because those three figures never match by accident. In short, land Stripe data through the API or exports, then report gross sales, fees and payouts as three separate measures.

  • Stripe API to staging
  • Fees and refunds split
  • Payouts reconciled

How does Power BI Stripe integration load payment data?

Stripe's API returns objects such as charges, refunds, invoices and balance transactions. A restricted key with read access can call it. So a scheduled job requests new records and stores them in tables.

The API pages its results with a cursor. Therefore the job keeps asking until Stripe says no more records remain. A direct call from Power Query can do this too, but large accounts make it slow.

Exports cover lighter needs. For example, Stripe's dashboard can produce balance and payout reports as files. Power BI reads those files from a shared folder. However, the detail stops at what each report contains.

Stripe details that trip up revenue reports

These three surprises appear in almost every first attempt.

Amounts in minor units

The API stores amounts in the smallest currency unit, such as cents. So the model must convert them before anything sums.

Several currencies

Charges can settle in different currencies. Therefore we keep both the charged amount and the settled amount.

Time in UTC

Time stamps arrive in UTC. As a result, a sale late in the evening can fall on the next day unless the model shifts it.

Why don't payouts equal sales?

A payout is what reaches the bank. Sales are what customers paid. Between the two sit fees, refunds, disputes and timing, so the numbers differ every single day.

Balance transactions explain the gap. Each one records a movement with its type, amount and fee. So we build the finance view on that table and link it to charges and payouts.

Subscriptions add another layer. For example, an annual plan paid today is cash now but revenue over twelve months. We keep cash reporting and recurring revenue measures apart, and we state clearly which one a page shows. Disputes deserve their own view as well. A dispute first removes money and may later return it. Therefore a single net figure hides both movements. So we show disputes opened, won and lost as separate lines, and finance can follow each case to its end.

Measures in a Power BI Stripe integration

Founders and finance leads usually ask for these.

  • Gross volume by day and product
  • Fees as a share of volume
  • Refunds and disputes by reason
  • Net amount against bank payouts
  • Recurring revenue and churned plans
  • Failed payments and recovery

How we build a Power BI Stripe integration

Four stages take raw payment objects to a model that ties to the bank.

  1. Understand the flows

First we learn how you sell: one-off payments, subscriptions, or both, and in which currencies.

  2. Scope in writing

Then the quote lists the objects to load, the measures and the pages. You approve it before we begin.

  3. Load and reconcile

We build the load and the model in your own tenant, and we tie payouts to bank deposits at the weekly demo.

  4. Hand over

Finally, your finance lead gets the reconciliation page and notes on each measure's definition.

Questions about Stripe data in Power BI

Is there a native Power BI connector for Stripe?

We do not find Stripe in Microsoft's current Power Query connector list, so we do not claim one. The dependable routes are the Stripe API with a staging database, report exports or a third-party connector. We check the list again at project start, because Microsoft adds and retires connectors over time.

Is it safe to connect Power BI to Stripe?

Yes, when the key is narrow. Stripe supports restricted keys with read-only permissions on chosen resources. So the load cannot create charges or refunds. Your administrator creates the key and can revoke it at any time. Also, card numbers never enter the model, since reporting does not need them.

Can Stripe data join with accounting data?

Yes. Payouts match bank lines, and invoices match customers in the ledger. Therefore one model can show payment detail beside the books. However, customer records rarely share a key across systems. We build a mapping, often on email or an external reference, and agree who maintains it.

Why not rely on the Stripe dashboard?

The dashboard is good for payments on their own. But it cannot show Stripe beside your product, CRM or accounting data. Power BI can. So we keep the dashboard for daily operations and use the model for cross-system questions, such as revenue by customer segment.
