Cash dashboards

A Power BI cash flow dashboard that looks ahead

A Power BI cash flow dashboard shows how much cash you hold today and how that balance should move over the coming weeks. Owners and finance leads use it to time payments, plan borrowing and avoid surprises. Bank balances, receivables and payables feed the view on a schedule. Our consultants build the model inside your own Microsoft tenant, with every assumption written down.

  • Weekly cash outlook
  • Inflows and outflows split
  • Assumptions made visible

Why does a Power BI cash flow dashboard matter?

Profit and cash are different things. A company can report a good month and still struggle to pay wages, because customers have not yet paid. So leaders need a view of cash itself, and the income statement cannot give it.

Many teams keep that view in a spreadsheet that one person maintains. It works while that person has time. However, it goes stale quickly, and nobody else can check the formulas.

A modeled view takes the routine out. Open invoices, open bills and bank balances load on their own. Then the page projects the balance week by week from due dates and payment habits. When the outlook dips below a level you set, the dip is plain well in advance.

What the cash page puts in front of you

Six elements give a finance lead both the position today and the path ahead.

Cash position today

Balances by bank account and entity appear at the top, so everyone starts from the same figure.

Expected receipts

Open customer invoices fall into weeks by their likely payment date. Then late payers shift the curve.

Planned payments

Supplier bills, payroll, tax and loan payments line up by week, because timing drives the low points.

Projected balance

A line shows the running balance ahead, and also marks the minimum level you want to hold.

Actual against projection

Last month's outlook sits beside what happened. The team then learns where its assumptions miss.

Scenario switch

A reader can delay receipts or move a payment, since a quick test beats a long debate.

Which data feeds a cash flow view in Power BI?

Four sources cover most of it. Bank balances set the starting point. Receivables give expected inflows. Payables give expected outflows. A short list of known items, such as payroll, rent, tax and loan payments, fills the rest.

Bank data deserves a plain word. Power BI has no general connector to bank accounts. So balances usually come from the accounting system after reconciliation, or from a statement file the bank lets you download. We agree the route that your bank and your system support. Where a statement file needs a staging step, our power bi data integration services handle that feed.

Assumptions complete the picture. Customers rarely pay on the due date, so the model can shift each receipt by that customer's usual delay. We keep those rules in a table you can read and change. Therefore nobody has to guess how the outlook arose.

Weak points in a Power BI cash flow dashboard

Any of these makes the outlook look safer than it is.

  • Receipts assumed on the due date
  • Payroll and tax left out
  • Bank balance typed in by hand and stale
  • No check of past projections
  • Entities added without intercompany rules
  • Assumptions hidden inside formulas

How we build your Power BI cash flow dashboard

The build moves from the position today to the projection, because the second depends on the first.

  1. Free cash review

We spend thirty minutes on your systems and your current outlook. Then we say what can load on its own.

  2. Assumptions in writing

Payment habits, fixed items and the horizon go into a short document. The quote follows from it.

  3. Model and reconcile

We build in your tenant and match the opening balance to the ledger before we project anything.

  4. Weekly demos

You compare each week's outlook with what happened. Finally we hand over files and the assumption table.

Cash reporting in Power BI: questions owners ask

How far ahead can a Power BI cash flow dashboard look?

A weekly outlook of about three months is the usual choice. Open invoices and bills cover the near weeks well. Further out, the view relies more on budget figures and recurring items, so it becomes less precise. We show that change on the page, and readers know which weeks rest on firm data.

Is the projection in the cash dashboard reliable?

It is an estimate built from your own data and stated rules. It will not match reality exactly, because customers and events vary. Still, a transparent estimate beats none. The page compares past projections with outcomes, so you can judge its accuracy yourself and adjust the rules over time.

Can Power BI produce a formal cash flow statement?

Yes, an indirect cash flow statement can come from ledger movements with a layout table, in the same way as an income statement. That is a different view from the weekly outlook. Many finance teams want both. We scope them as separate pages on one model, since they share the same ledger data.

Can we test what happens if a big customer pays late?

Yes. A scenario control lets a reader push receipts by a number of days, or move a single large item. The projected balance redraws at once. These tests do not change your data. They simply show the effect, which helps when you decide whether to arrange extra credit.

Who will build this for us?

One of our consultants at Power BI Agency will. We are a small team and a division of Sataware Technologies, independent of Microsoft. Work is remote and inside your own tenant. The scope sits in a written quote. After that, a weekly demo shows you each stage, and we reply within 2 hours.
