A Power BI accounts receivable dashboard that speeds up cash
A Power BI accounts receivable dashboard is a daily view of unpaid customer invoices, their age and the people who should chase them. Credit controllers open it to decide which calls to make first. Finance leaders open it to see whether cash will arrive on time. Our consultants build it inside your own Microsoft tenant, and the totals agree with your ledger.
- Aging by customer
- Collector worklists
- Days sales outstanding trend

Why use a Power BI accounts receivable dashboard?
A sale is not finished until the customer pays. Yet many companies watch sales closely and receivables only at month end. By then, an invoice that needed one phone call has drifted two months late.
The standard aging report does not help much. It prints a long list sorted by customer name. So the collector must hunt for the accounts that matter, and the biggest risks hide among small balances.
A working page sorts by what matters. It ranks customers by overdue amount and days late. It also shows each customer's usual payment habit, so an unusual delay stands out. Then the team spends its calls where cash is most at risk. Ranking by what matters is the heart of good power bi dashboard design, and it decides whether collectors use the page.

What a receivables page should put in front of you
Each measure here supports a specific action, from a reminder call to a credit hold.
Open receivables
Total unpaid invoices by customer, region and sales rep, tied to the ledger balance.
Aging buckets
Split balances into current and overdue bands. Then the oldest and largest rise to the top.
Days sales outstanding
Track how long customers take to pay on average, because the trend tells more than a single month.
Collector worklist
Each collector sees their own accounts ranked by priority, and also the date of the last contact.
Disputed invoices
List invoices under query with the reason and owner, since a dispute stops payment until someone resolves it.
Credit limit use
Compare each balance with its credit limit. Sales and finance then agree on holds before an order ships.
What data sits behind a receivables view in Power BI?
The accounting system holds customers, invoices, receipts, credit notes and terms. That covers the core. Collection notes and promise dates may sit in the same system, in a CRM or in a spreadsheet, and they add real value when we can load them.
History helps again. To chart days sales outstanding over time, the model needs the open balance at each past month end. Some systems can report that, while others cannot. So we often rebuild past balances from invoice and receipt dates.
Cash application affects accuracy. If receipts wait unallocated, invoices look unpaid when the money has arrived. Therefore the page shows unapplied cash as its own line, and the team can clear it quickly.
Errors to avoid in a Power BI accounts receivable dashboard
Each of these sends collectors after the wrong accounts or hides a real risk.
- Unapplied cash ignored in the aging
- Parent and child accounts shown apart
- Aging counted from invoice date
- Disputes mixed in with true late payers
- No view of promises to pay
- Sales reps never see their own overdues
How we build a Power BI accounts receivable dashboard
The build follows four steps, and collectors take part from the second one.
Free assessment call
We look at your aging report and system for half an hour. Then we say what a better page would change.
Scope with the credit team
Collectors tell us how they choose calls today. The written quote then reflects that routine.
Model and reconcile
We build in your tenant and match the open total to the ledger before we design any visuals.
Demos every week
The team uses draft pages on real calls. Afterwards we hand over files and documentation.
Receivables reporting in Power BI: FAQ
How fresh is a Power BI accounts receivable dashboard?
Most finance teams refresh it each morning, after the prior day's receipts post. That timing suits collection work well. More frequent refresh is possible within the limits of your license, which Microsoft documents. If collectors need to see a payment minutes after it lands, a direct query design is an option.
Can sales reps see overdue invoices for their customers?
Yes. Row-level security filters the same report by rep, so each person sees their own accounts. That often speeds collection, because a rep has a relationship the credit team lacks. Managers see their team, and finance sees all. We set these rules once in the model.
Does the Power BI dashboard predict late payment?
It shows each customer's past payment pattern, such as average days late, and projects expected receipt dates from that habit. This is a simple, transparent estimate. We do not present it as a precise forecast. Still, it gives treasury a more realistic cash outlook than due dates alone.
Can a Power BI dashboard send reminders to customers?
No, Power BI is a reporting tool and does not send dunning letters. Reminders should come from your accounting system or a collections tool. What the report adds is focus: it tells the team whom to contact and in what order. Internal email subscriptions to a report page are available, however.
Who will build it?
A consultant from Power BI Agency will. We are a small team and a division of Sataware Technologies, independent of Microsoft. Work is remote, inside your tenant. The scope sits in a written quote, and you see the result grow at a weekly demo.
