A Power BI accounts payable dashboard for finance teams
A Power BI accounts payable dashboard helps a finance team see every open supplier invoice, its due date and its approval status. Controllers use it to plan payment runs, while treasury uses it to forecast cash going out. The data comes straight from the accounting system. Our consultants build the model inside your own Microsoft tenant, and it ties back to the ledger.
- Payables aging by supplier
- Cash out by week
- Approval bottlenecks shown

What does a Power BI accounts payable dashboard cover?
Payables look simple from outside. A bill arrives, someone approves it and finance pays it. In practice, invoices stall in inboxes, discounts expire and suppliers call to chase. The aging report from the ledger lists balances, but it explains none of this.
A fuller view adds the missing parts. It shows open invoices by due date, so the next payment runs are plain. It also shows how long each invoice spent in each step. Then the team sees whether delays come from entry, approval or payment.
Suppliers matter as well. When spend and terms sit side by side for each vendor, a controller can see who deserves early payment and who offers room. Because the page refreshes daily, that review no longer waits for month end. To send each approver a filtered list on a schedule, see power bi report automation.

Payables measures and what each one signals
We agree these definitions with your controller first, since payment terms differ by company.
| Measure | What it shows | Why it matters |
|---|---|---|
| Open payables | Total owed to suppliers today | Ties to the ledger balance |
| Aging buckets | Amounts by days past due | Flags late payment risk |
| Due this week | Invoices that fall due soon | Sizes the next payment run |
| Days payable outstanding | Average time taken to pay | Shows use of supplier credit |
| Invoice cycle time | Days from receipt to payment | Reveals slow approvals |
| Discounts taken and missed | Early payment terms used or lost | Points to avoidable cost |
| Invoices on hold | Bills blocked by a query | Shows work that needs an owner |
Which data does a payables page need?
The accounting or ERP system supplies the core tables: suppliers, invoices, payments and terms. Purchase orders and receipts help when you match invoices against them. If an approval tool sits outside the ERP, its status history is worth adding too.
Power BI reads the databases behind many finance systems, and Microsoft documents connectors for several of them. For a cloud product without one, we use its API or a scheduled export. We check your system during the assessment, so the quote names the real route.
Dates do most of the work here. Invoice date, receipt date, due date and payment date each answer a different question. Therefore the model keeps all four, and every measure states which one it uses.
Mistakes in a Power BI accounts payable dashboard
These are the faults we correct most often in reports that finance teams send us.
- Aging based on invoice date, not due date
- Credit notes left out of the balance
- Totals that do not tie to the ledger
- One supplier listed under three names
- Foreign currency mixed without conversion
- Approval delays invisible to everyone
How we build a Power BI accounts payable dashboard
Reconciliation drives the process, because a finance page must agree with the books.
Free finance assessment
We review your system and current aging report in thirty minutes. Then we outline what to add.
Written scope
The quote lists measures, entities and currencies, so nothing expands later without your approval.
Build and tie out
We model the tables in your tenant. After that, we match open payables to the ledger control account.
Weekly demos and handover
Your team tests each page weekly. Finally they receive the files and a note on every measure.
Payables reporting in Power BI: common questions
Will the Power BI accounts payable dashboard match our ledger?
Yes, and we treat that as a condition of sign-off. Open payables on the page must equal the control account in the general ledger on the same date. When they differ, we trace the gap, which usually comes from unposted items or credit notes. You see that reconciliation during the weekly demos.
Can the payables dashboard forecast cash going out?
It can project payments from due dates and your usual payment habits. For example, if you pay twice a month, the model groups invoices into those runs. That gives treasury a practical outlook for the coming weeks. It is a projection and not a promise, since disputed or late-arriving invoices will change the picture.
Does Power BI handle several entities and currencies?
Yes. The model holds a company dimension and a currency table with exchange rates. Users then view payables per entity or combined in a reporting currency. We agree which rate applies, such as the month-end rate, and show it on the page. Security roles can also limit each accountant to their own entity.
Can approvers see invoices waiting for them?
They can, if the approval status lives in a system we can read. A page then lists pending invoices by approver and age. Some teams add an email subscription, so each approver gets a regular reminder. However, the approval itself still happens in your finance or workflow tool.
How is the work delivered?
Delivery is remote, by our consultants. Power BI Agency is a division of Sataware Technologies and is independent of Microsoft. We work inside your tenant with access you grant. You get a written quote, weekly demos and replies within 2 hours. We work with clients remotely.
