Power BI Business Central integration for finance teams
Power BI Business Central integration gives finance and operations teams reports that refresh on a schedule you set on top of their ERP data. Power BI Desktop includes a connector for Dynamics 365 Business Central, which reads API pages and published web services. So ledgers, customers, items and dimensions can flow into one model. The hard part is rarely the connection. Instead it is shaping dimensions and large ledger tables well.
- Built-in connector
- Dimensions handled properly
- Finance and stock together

What is Power BI Business Central integration?
Business Central holds the books: general ledger, receivables, payables, stock and jobs. Power BI turns those tables into charts a manager can read in a minute. The link between the two is a connector that Microsoft maintains.
In Power BI Desktop you choose the Business Central connector, sign in and pick an environment and a company. Then a list of data sets appears. Some come from standard APIs, while others come from pages or queries that your partner published as web services.
Business Central also ships with its own Power BI reports, which show up inside role centers. Those are a fair start. However, most companies soon want their own measures, their own layout and data from other systems next to the ledger. A Power BI profit and loss report is a natural first build. For Sales, Customer Service and the other Dataverse apps, see Power BI Dynamics 365 integration instead.

Finance and operations views from Business Central
These six report areas cover most requests, and they can share one model.
Profit and loss
Ledger entries roll up by account category, so the P and L matches the books line by line.
Receivables aging
Open customer entries fall into aging buckets, which shows credit control where to call first.
Payables and cash
Vendor entries and bank balances then give a short-term view of cash going out and coming in.
Inventory value
Item ledger and value entries reveal stock on hand, turnover and slow movers by location.
Sales by dimension
Posted invoices split by department, project or region, because dimensions travel with each entry.
Budget against actual
Budget entries sit beside actuals, so variance appears per month without a spreadsheet.
Why are dimensions the tricky part?
Business Central stores two global dimensions directly on each ledger entry. Every other dimension lives in a separate set table. So a report that needs a third or fourth dimension must join through that set.
Many first attempts skip this step and then wonder why totals by project look wrong. The fix is a small bridge in the model. After that, any dimension can slice any entry.
Volume is the second issue. Ledger tables grow every day, and the API returns them page by page. Therefore a full reload gets slower each month. Incremental refresh solves this, because Power BI then loads only recent periods and keeps the older ones.
Checks before a Power BI Business Central integration
A short review of these points saves rework later, so we cover them first.
- Which companies and environments hold live data
- Whether the needed API pages already exist
- How many dimensions reports must slice by
- Which calculated fields the API leaves out
- How large the ledger entry tables have grown
- Who may see payroll or margin figures
Steps in our Power BI Business Central integration
We run the work in four stages and show results at a weekly demo.
Review the ERP setup
First we look at companies, the chart of accounts, dimensions and any extensions that add tables.
Connect and stage
Then we connect through the right API pages and, when needed, ask your partner to publish a missing one.
Model the ledger
Next we build date, account and dimension tables around the entries, and add incremental refresh for the big ones.
Reconcile and release
Finally we tie report totals back to the trial balance, so finance can sign off before anyone else sees them.
Questions about Business Central data in Power BI
Does the Business Central connector in Power BI work on-premises?
Yes, there is a route for both. Business Central online connects directly from the Power BI service. An on-premises install needs its OData web services exposed and, in most cases, an on-premises data gateway so the cloud service can reach the server. We check the network path early, because that step usually involves your IT team or hosting partner.
Can Power BI combine several Business Central companies?
Yes. Each company is a separate selection in the connector, so Power Query can load the same table from each one and append the results. We add a company column during that step. After that, a single report can show one entity or the whole group. Currency and intercompany entries need extra care, though.
Will reports slow Business Central down for users?
Usually the effect is small. For the online service, Microsoft documents that report reads can use a read-only copy of the database, which keeps load away from people posting entries. Still, a badly built query that pulls every column of every entry wastes time. So we load only what the model needs.
Do report totals match the trial balance?
They should, and we prove it. Before release, we compare the Power BI totals with the trial balance for several closed periods. When a gap appears, the cause is often a filter on posting dates or a missing closing entry. Finance signs off only after the numbers agree.
Who owns the Business Central integration and Power BI files afterwards?
You do. The semantic model, reports and notes all live in your Microsoft tenant from the start. Power BI Agency is an independent team within Sataware Technologies, and we do not resell licenses. So when the project ends, your own analysts can carry on, or you can keep us for changes.
