Power BI Xero integration for owners and advisors
Power BI Xero integration lets an owner or an advisor see invoices, bills and bank movements as trends instead of static reports. Microsoft's connector list has no Xero entry, so we do not describe a built-in connector. However, Xero offers an API that uses OAuth sign-in. So the data reaches Power BI through a small staging layer, an export or a third-party connector.

How does Power BI Xero integration get accounting data?
The Xero API returns invoices, contacts, accounts and journals. It signs callers in with OAuth 2.0, and its access tokens last only a short time. Therefore something must renew the token before each run.
Power Query alone handles that poorly. So we usually add a small scheduled job. It renews the token, fetches changed records and writes them to a database. Then Power BI reads the database with a standard connector.
Exports are the light alternative. For example, a monthly profit and loss export can sit in a shared folder. That works for a simple board pack, but it cannot show invoice-level detail.

Three common setups among Xero users
The design changes with the number of organizations and readers.
One company
A single organization needs a simple load and a handful of pages. Often an export route is enough to begin with.
A small group
Several organizations need one chart mapping. So we align account codes and add an entity column to every table.
An advisory firm
An advisor serves many clients. Therefore each client's data stays apart, and row-level security guards the shared reports.
Which data level suits management reports?
Summary reports answer what happened. Transactions answer why. So a model built on journals can drill from a profit line to the invoices behind it.
Journals are the most complete source, because every posting appears there. However, they need a chart of accounts table and tracking categories to make sense. We load those as dimensions and link them.
Invoices and bills add the operational side. For example, due dates and payment dates give debtor days and a cash forecast. Then one page can show both profit and the cash that follows it. Bank transactions complete the picture. Because they show what actually cleared, they test the forecast against reality. So we load them as a separate table and compare expected receipts with real ones each week. Also, an owner can then see which customers pay late as a habit. The same data feeds a Power BI accounts receivable dashboard.
Pages in a typical Power BI Xero integration
Owners tend to ask for these first, in roughly this order.
- Profit and loss by month
- Revenue by customer and product
- Expenses by account and tracking category
- Receivables aging and overdue invoices
- Cash in and out by week
- Budget against actual
How we deliver Power BI Xero integration
Four short stages fit a small finance team's calendar.
Look at the file
First we review your chart of accounts and tracking categories on the free assessment call.
Quote the route
Then a written scope states the route, the pages and what stays out, so a small job stays small.
Build and check
We build the load and the model in your own tenant, and we match profit totals to Xero at the weekly demo.
Show the owner
Finally, we walk the owner and the bookkeeper through the pages, so both read the same figures.
Questions about Xero data in Power BI
Is there a native Power BI connector for Xero?
We do not find Xero in Microsoft's Power Query connector list. So the honest answer is no built-in connector that Microsoft documents. The routes are the Xero API through a staging layer, file exports or a third-party connector. We explain what each costs to run and let you choose.
Why not call the Xero API straight from Power Query?
It is possible in a narrow sense, but it is fragile. The API uses OAuth tokens that expire quickly. Therefore a scheduled refresh in the service would need fresh credentials each time. A small job outside Power BI handles renewal properly. As a result, refresh becomes dependable.
Can one Power BI report cover several Xero organizations?
Yes. The load tags every record with its organization, and the model adds an entity table. Then a slicer switches between companies or shows the group. However, account codes must line up. So we build a mapping with your accountant before we combine anything.
Is Power BI with Xero worth it for a small company?
Sometimes it is not, and we say so. If the built-in reports answer your questions, keep them. Power BI pays off when you want trends, drill-down or data from other systems beside the accounts. The free assessment is where we give that opinion plainly.
