A Power BI profit and loss report your controller can trust

A Power BI profit and loss report presents revenue, cost and margin in the layout your finance team already knows. Each line opens to show the accounts and postings behind it, so questions get answers in the meeting. The numbers come from the general ledger on a schedule. Our consultants build the model inside your own Microsoft tenant and tie every total to the trial balance.

  • Statement layout kept
  • Drill to postings
  • Actual, budget and prior year

Why build a Power BI profit and loss report?

Most finance teams still produce the income statement in a spreadsheet. Someone exports the trial balance, pastes it into a template and fixes the links. That routine works, but it is slow, and it repeats every month.

The spreadsheet also stops at the total. When a manager asks why travel cost rose, the accountant goes back to the ledger and returns a day later. So the review meeting ends with a list of open questions.

A modeled statement changes both points. The layout loads itself after each close, because the mapping from accounts to lines lives in a table. Then any reader can expand a line to its accounts, its cost centers and its postings. As a result, the meeting deals with causes while everyone is still in the room. A profit and loss statement shows performance over a period. By contrast, the Power BI balance sheet report shows position at a single date, and both read one ledger model.

What the statement page should contain

A finance reader expects these six things, and each one needs deliberate modeling.

Statement lines in order

Revenue, cost of sales, gross margin and operating costs appear in your sequence, with subtotals where you expect them.

Comparison columns

Actual sits beside budget and prior year. Then each variance shows as an amount and as a ratio.

Month and year to date

A reader switches between period and cumulative views, because each one answers a different question.

Entity and department filters

One model serves the group, each company and each cost center, and also respects who may see what.

Drill to the ledger

Any line opens to accounts and postings, so nobody leaves the page to find an explanation.

Margin ratios

Gross and operating margin show as ratios under the amounts, since trends matter more than one month.

How do profit and loss lines work in a Power BI model?

Power BI has no built-in income statement. A matrix visual can show rows and columns, but it does not know that gross margin equals revenue minus cost of sales. Therefore the structure has to come from the model.

We add a statement layout table. It lists every line, its order, its sign and the accounts that feed it. Subtotal lines carry a rule instead of accounts. Then a small set of DAX measures reads that table and returns the right figure for each row.

Signs cause most early errors. Ledgers usually store revenue as a credit, which shows as a negative number. So the layout table holds a sign for each line, and readers see revenue as positive. When your chart of accounts changes, you edit the table, and the statement follows. The same layout approach extends to cash flow and other statements, which our power bi financial reporting service covers.

Common faults in a Power BI profit and loss report

Each of these breaks the statement quietly, so test for them early.

  • Subtotals typed in as fixed account lists
  • Revenue shown with a minus sign
  • New accounts missing from every line
  • Year to date that ignores the fiscal calendar
  • Budget loaded at a different level of detail
  • Totals that differ from the trial balance

How we deliver your Power BI profit and loss report

Four steps take the statement from a template to a model, and your controller signs off each one.

  1. Free assessment

We look at your current statement and ledger for thirty minutes. Then we explain the approach that fits.

  2. Layout and mapping

Your controller confirms each line and its accounts. The written quote then fixes the scope.

  3. Model and tie out

We build in your tenant and match every subtotal to the trial balance for several closed months.

  4. Weekly demos and handover

Finance tests the pages each week. Finally we document the measures and the layout table.

Financial statements in Power BI: questions from finance

Can the report keep our own profit and loss layout?

Yes. The layout table holds your lines in your order, with your subtotals and your wording. We do not force a standard template. If you present the statement differently to the board and to managers, the model can hold both layouts. Each one reads the same postings, so the two always agree.

Does a Power BI profit report handle several companies?

It does. A company dimension lets readers view one entity or the group. Where entities use different charts of accounts, a mapping table brings them to common lines. Intercompany eliminations need their own rule, which we agree with your controller. We also apply security roles, so local staff see only their own company.

How do budget figures get into the profit and loss report?

Budgets usually arrive from a spreadsheet or a planning tool. We load them into a table with the same account, department and month keys as the actuals. When the budget exists only at a summary level, we design the comparison at that level. Afterwards, each new budget version loads through the same route.

Will the numbers refresh on their own?

Yes, once the connection is in place. The ledger data refreshes on a schedule in the Power BI service, often nightly. During the close, some teams refresh more often, so they can watch late postings arrive. On-premises systems need a gateway, which we help your IT team set up.

Who does the work?

Consultants at Power BI Agency do it. We are a small division of Sataware Technologies and are independent of Microsoft. The work happens remotely, inside your tenant. You approve a written quote first. Then you see progress in a demo each week.
