A Power BI balance sheet report that balances at every date
A Power BI balance sheet report shows what a company owns, what it owes and what remains for its owners on any date you pick. Unlike an income statement, it adds up every posting since the ledger began, so the model needs a different kind of measure. Our consultants build it inside your own Microsoft tenant, and the file stays with your finance team.
- Balances at any date
- Ratios beside the statement
- Drill to the account

What does a Power BI balance sheet report show?
The statement answers one question: where does the company stand today? Assets sit on one side. Liabilities and equity sit on the other, and the two sides must agree. So the page opens with that check in plain sight. By contrast, a power bi profit and loss report measures performance over a period, while this statement shows the position at one date.
Below the totals, each line opens into its accounts. A controller can click receivables and see the customers behind the figure. Then a second click moves to the prior month or the prior year end, because a balance means little without a comparison.
Ratios sit next to the statement instead of in a separate workbook. As a result, the current ratio and the debt position move when you change the date. Lenders and owners read the same page as the finance team. When you want a full monthly pack, our power bi financial reporting service joins both statements with cash.

Position measures finance reads beside the statement
Each measure below reads the closing balance on the chosen date, so it never sums a whole period by mistake.
Closing balance
Add every posting from the first ledger date up to the chosen day. That running total is the figure a statement line shows.
Working capital
Subtract current liabilities from current assets. The result shows how much room the business has for the months ahead.
Current ratio
Divide current assets by current liabilities. Because both halves come from one model, the ratio always ties to the statement.
Quick ratio
Leave stock out of current assets before you divide. Then the ratio shows cover from cash and receivables alone.
Debt to equity
Compare total liabilities with total equity. Owners and lenders both watch this figure when they judge how the company funds itself.
Movement since last close
Show the change in each line since the prior period end, so an unusual swing stands out before the review meeting.
How does a balance sheet differ from other reports in Power BI?
Most sales measures sum the rows inside the period on the page. A balance does not work that way. Instead, the measure must ignore the start of the period and add everything up to its last day. We write that pattern once, and every line reuses it.
The second difference is layout. A statement has a fixed order, subtotals and sign rules, but a chart of accounts has none of those. Therefore we add a small layout table that maps each account to a line, a section and a display sign.
Retained earnings need care too. The ledger often holds current year profit in income and expense accounts until the year closes. So the model adds that profit into equity on the fly, otherwise the two sides disagree for most of the year.
Mistakes that break a Power BI balance sheet report
These six faults explain most statements that fail to balance or fail to match the ledger.
- Summing only the postings inside the selected month
- Leaving current year profit out of equity
- Hard-coding account ranges inside each measure
- Showing credit balances with the wrong sign
- Mixing currencies without a rate on the closing date
- Skipping a visible check that both sides agree
How we build a Power BI balance sheet report
Four stages take the work from a ledger export to a statement your controller signs off.
Map the chart of accounts
First we sit with your controller and assign every account to a statement line. That mapping lives in a table your team can edit later.
Model the ledger
We load postings, accounts and a proper date table, then relate them in a star shape so filters behave the same on every page.
Write and tie out the measures
Next we write the closing balance logic and compare it with your trial balance for several period ends, line by line.
Hand over with notes
Finally your team receives the file, a short measure guide and a walkthrough, so a new account takes minutes to add.
Balance sheet reporting in Power BI: questions from finance
Can a Power BI balance sheet report match our accounting system?
Yes, when both read the same postings. We compare the statement with your trial balance at several period ends before anyone else sees it. If a line differs, we trace it to the account and fix the mapping. As a result, your controller can sign the page off with the same confidence as the system report.
Does the balance sheet in Power BI need a date table?
It does. Microsoft documents that time intelligence functions rely on a proper date table, and the closing balance pattern depends on one as well. So we add a date table that covers the full life of the ledger and mark it as such. Your fiscal year and period names also live there.
Can the statement show several companies at once?
Yes. A company table lets you pick one entity or a group, and the measures add the balances together. However, a true consolidation also removes balances between group companies. We flag those accounts in the mapping table, so the group view can leave them out while each single company still shows them.
How often does the data refresh?
That depends on your source and your license. Most finance teams choose a scheduled refresh each night, because balances rarely matter by the hour. During month end you can also start a refresh by hand after a posting run. Microsoft Learn describes the refresh options and limits for each license type in detail.
Who does the work and where does the file live?
Consultants from a small team do the work. Power BI Agency is a division of Sataware Technologies and is independent of Microsoft. We work inside your tenant through accounts you control and deliver the service online. We do not copy ledger data to our own systems. You can also call (480) 485-7373 to book a free assessment.
