Power BI for private equity firms and their portfolio companies
Power BI for private equity gathers the monthly results of every portfolio company into one model, so a deal team compares revenue, earnings, cash and debt on equal terms. Each company reports from a different ledger and in a different layout, which makes that comparison slow. Consultants from Power BI Agency build the consolidation online, inside your own Microsoft tenant, to a written scope.
- One chart of accounts
- Company by company view
- Value plan tracking

Why do sponsors use Power BI for private equity reporting?
A sponsor asks each portfolio company for a monthly pack. The packs arrive as spreadsheets and slide decks, each with its own account names and its own idea of adjusted earnings. So an associate spends days retyping figures into a master file.
That master file is where errors creep in. A pasted column shifts. A company restates a prior month, and nobody updates the history. However, the investment committee still reads the summary as fact.
A model replaces the retyping. Each company's trial balance or pack loads through a mapping to one common chart of accounts. Then the same measures apply to all of them. As a result, a partner can open any company, or the whole fund, and trust the comparison.

Portfolio dashboards for deal teams and operating partners
These pages suit most funds, and each reads from the same mapped data.
Portfolio overview
Revenue, earnings and cash for every company sit on one grid against budget and prior year.
Company deep dive
A single business opens into its income statement, balance sheet and key drivers, so questions get answered in the meeting.
Value creation plan
Each initiative shows its target, owner and progress. Therefore operating partners see what has slipped.
Debt and covenants
Net debt, leverage and headroom trend by month, because a covenant problem is best seen early.
Working capital
Receivables, payables and inventory days compare across companies. Then cash opportunities stand out.
Commercial drivers
Volume, price and customer mix explain revenue changes, so the story behind a number is visible.
How does portfolio company data reach Power BI for the deal team?
There are two common routes. In the first, each company fills a standard template, usually an Excel workbook, and saves it to a shared location. The model then reads every file on a schedule. This route is simple, and it works even when ledgers differ widely.
In the second, the model connects to each company's ledger directly. That gives more detail, but it needs access and a connector or export for every system. So many funds start with templates and move larger holdings to direct connections later.
Either way, the mapping does the real work. We build a table that ties each local account to the fund's common chart. Finance at each company reviews its own mapping first. After that, a new acquisition only needs a new mapping, not a new report. Fund-level statements are a separate task, so power bi financial reporting covers that ledger work.

How a Power BI for private equity build proceeds
We start with two or three companies, because a small pilot proves the mapping before it spreads.
Free assessment
First we review a sample pack and your master file. The call lasts thirty minutes and costs nothing.
Written scope
Then a quote names the companies, the common chart and the pages. It also states what each company must supply.
Pilot consolidation
We map a few companies and reconcile them to their packs, so everyone trusts the method.
Roll-out and handover
Remaining companies follow while you see demos each week. Finally your team receives the model and its notes.
Private equity reporting in Power BI: common questions
Does Power BI for a sponsor replace fund accounting software?
No. Fund accounting, capital calls and investor statements stay in the systems made for them. Power BI reads results and presents them for analysis. So it suits portfolio monitoring, board packs and internal reviews. Because it is a reporting layer, it never changes a booked figure. We keep that boundary clear in every scope.
Can portfolio company managers see only their own business in Power BI?
Yes. Row-level security filters the model by the signed-in user. A chief financial officer at one company then sees that company alone, while the deal team sees the fund. Access for people outside your organization follows Microsoft's sharing rules and license types. We help you set those up during the build.
How does Power BI for a fund handle adjusted earnings?
The model holds reported earnings and each adjustment as separate lines. So a reader sees exactly what moved the adjusted figure. We agree the adjustment categories with your team first. Then every company uses the same ones. As a result, two businesses with different habits become comparable without hiding anything.
How do you keep sensitive portfolio data under control?
Everything sits in your own Microsoft tenant, under your security policies. Our consultants work with accounts you grant and can withdraw. No data moves to our systems. Also, workspace roles and row-level security limit who opens what. Microsoft documents these controls, and we configure them with your administrator.
Who delivers the work?
One of our consultants delivers it from the first call to handover. Power BI Agency is a small team and a division of Sataware Technologies. It is independent of Microsoft and does not resell licenses. The service runs online. We also reply to every inquiry within 2 hours.
