A Power BI project portfolio dashboard for sponsors and PMOs
A Power BI project portfolio dashboard is a report that ranks every project by value, cost and strategic fit. It also shows funding against plan and where projects compete for the same people. Leaders then decide which work to start, pause or stop. The data comes from the project tool, the ledger and resource plans. Our consultants build the model in your own Microsoft tenant.
- Projects ranked by value
- Funding against plan
- Resource conflicts flagged

What does a Power BI project portfolio dashboard replace?
Most portfolio reviews run on slides. Each project manager fills a template, and the PMO stitches the pages together. By the time the pack reaches the sponsor, parts of it are a week old.
A shared report ends that routine and adds what slides rarely hold: a ranking. Each project carries a score for value, cost and fit with strategy. Then leaders compare a new proposal with the work already funded, on the same scale.
The meeting changes too. Instead of walking through every project, the group starts with funding decisions and conflicts. For the tasks, issues and workload inside one project, the Power BI project management dashboard is the better fit.

Portfolio views for funding and priority
We agree the scoring and status rules in writing first, so every project is judged on the same terms.
Status grid
Show each project with schedule, cost and scope indicators in one row. Then trouble is visible at a glance.
Funding against plan
Compare approved funding, actual spend and forecast to complete by program, because the forecast drives the next release of money.
Priority ranking
Rank projects by a weighted score for value, cost and risk. However, show each input, so anyone can challenge the ranking.
Strategic fit
Tag each project to the goals it serves. Then gaps and overlaps across the portfolio become visible.
Resource conflicts
Show where two projects need the same team in the same month, and also which one ranks higher.
Stage funnel
Show how many projects sit at idea, approved, in delivery and closed, to reveal a clogged pipeline.
Where do project status and cost data come from?
Schedules and status usually live in a project tool. That may be a Microsoft product, another vendor's product or a well-kept list. We check what the tool exposes before we commit to a route.
Cost comes from elsewhere. Actual spend sits in the ledger, often under a project code. So we join ledger postings to the project list, and the budget page then agrees with finance.
Resource plans are the third source. They may sit in the project tool or in a capacity sheet by team and month. So we sum demand by team across projects, and a conflict appears wherever demand passes capacity. Leaders who want portfolio funding beside revenue and cash can also see it in an executive dashboard in Power BI.
Common flaws in a Power BI project portfolio dashboard
When sponsors stop trusting a portfolio view, one of these is usually the cause.
- Status colors with no stated rule behind them
- Spend figures that differ from the ledger
- Baselines overwritten each time a plan slips
- Scores that nobody can trace to inputs
- Benefits claimed but never measured afterward
- No way to see what changed since last month
How we produce a Power BI project portfolio dashboard
Four stages bring the PMO, finance and sponsors to one agreed picture.
Define the portfolio
First we settle which projects count, how stages work and how the priority score is weighted.
Link plans and ledger
Then we connect the project tool and the finance system through a shared project code.
Snapshot each period
Next we store status and forecast at every reporting date, because movement tells the real story.
Shape the review page
Finally we design the leadership page around funding and conflicts, and test it in a live review.
Portfolio reporting in Power BI: questions from PMOs
Which project tools can feed a Power BI project portfolio dashboard?
Many can. Microsoft documents ways to report on some of its own project products, and other tools offer an API, a database or exports. We confirm the route for your tool before quoting. If projects live in spreadsheets, we suggest a structured list first, since a report needs consistent rows.
Can a Power BI portfolio dashboard show a timeline view?
Yes. Power BI can show milestones and phases along a time axis, either with built-in visuals or with a visual from the marketplace. We choose the simplest option that reads clearly. For most sponsors, a milestone list sorted by date works better than a dense chart.
How does the project portfolio report handle confidential projects?
Row-level security can hide named projects from all but a chosen group. So a sensitive initiative appears in totals for the leadership team only. Everyone else sees the portfolio without it. We agree the rule with the PMO and test it before release.
Can the Power BI project dashboard show what changed since the last review?
Yes, once snapshots are in place. The model compares the current status, dates and forecast with the prior period. Then a page lists every project whose rating, finish date or cost moved. That list often becomes the agenda for the review meeting.
