Power BI Smartsheet integration across many project sheets
Power BI Smartsheet integration gathers plans, trackers and intake sheets into one model, so leaders see a portfolio instead of single sheets. Microsoft documents a Smartsheet connector that signs in with a Smartsheet account and imports data. So the connection is straightforward. However, row hierarchy, flexible column types and sheets that differ slightly from each other take real modeling work.

How does Power BI Smartsheet integration connect?
The author searches for Smartsheet in the data source list and picks a region. Microsoft's page says the connector supports the US and EU regions. Then a Smartsheet sign-in opens, and the navigator shows what that account can reach.
The connector imports rows into the model. Therefore a scheduled refresh keeps the report current, and no gateway is involved for a standard cloud setup. Also, access follows the account, so a sheet that the account cannot open will not appear.
We ask for a shared reporting account early. Otherwise the connection rests on one project manager's login. When that person changes role, the refresh would fail, and nobody would know why.

Sheet features that need care in a model
A sheet looks like a table, but a few features behave differently once loaded.
Parent and child rows
Indented rows form a hierarchy. However, parent rows often hold roll-up values, so a plain sum counts the same work twice.
Flexible columns
Dropdowns, contacts and symbols load as text. So we map them to tidy categories before they reach a chart.
Similar, not equal sheets
Each project copy drifts a little. Therefore we align column names before combining sheets into one table.
Why build a portfolio model instead of per-sheet reports?
A report on one sheet adds little, because the sheet already has its own views. The value appears when many sheets come together. Then a director can compare projects, spot late milestones and see load by team.
That requires a common shape. So we define a standard set of columns, such as project, task, owner, start, finish and status. Each sheet maps onto that set, and the model stores one task table.
Templates make this far easier. For example, new projects that start from one template all load without extra work. We help you adjust the template where needed, since that small change saves effort on every future project. The result often feeds a Power BI project portfolio dashboard.
Checks for a clean Power BI Smartsheet integration
We confirm these points sheet by sheet before combining anything.
- A shared account owns the connection
- Parent rows carry a flag the model can filter
- Status values come from one agreed list
- Date columns hold dates, not typed text
- Each sheet names its project in a column
- Archived sheets have a clear rule
Our Power BI Smartsheet integration workflow
Four stages turn a folder of sheets into one portfolio view.
Inventory the sheets
First we list the sheets in scope and compare their columns. The free assessment often starts with this list.
Agree the standard
Then we propose a common column set, and the written quote fixes the sheets and pages in scope.
Combine and model
We build the combined task table and the measures in your own tenant, and we show it at the weekly demo.
Support the owners
Finally, sheet owners learn the few rules that keep their data loading, because they maintain the source.
Questions about Smartsheet data in Power BI
Is there a native Power BI connector for Smartsheet?
Yes. Microsoft lists a Smartsheet connector in the Power Query connector reference. It signs in with a Smartsheet account and supports Import. So a standard setup needs no custom code. Microsoft's page also notes which Smartsheet regions the connector supports, and we check it against your account before we start.
Can Power BI combine many Smartsheet sheets into one report?
Yes, and that is the main reason to use it. Power Query appends sheets with matching columns into one table. However, the columns must line up first. We build a mapping step for each sheet type, so small differences in naming do not drop data along the way.
How do parent rows affect totals?
Parent rows usually show a roll-up of their children. If the model sums every row, the effort or cost counts twice. So we flag parent rows and exclude them from sums, while keeping them for grouping. As a result, totals match what project managers see in the sheet.
Should we keep using Smartsheet dashboards too?
Often yes. Dashboards inside the tool suit a single project team. Power BI suits cross-project views and data from other systems, such as finance. Therefore the two can sit side by side. We help you decide which audience reads which, so nobody maintains the same chart twice.
How does Power BI Agency deliver this work?
We work online, inside your own Microsoft tenant. A small team does the work and shows it every week. Power BI Agency is a division of Sataware Technologies, independent of Microsoft and of Smartsheet. Call (480) 485-7373. We answer within 2 hours.
