Power BI Google Sheets integration for shared trackers
Power BI Google Sheets integration pulls data from a shared spreadsheet into a report without downloads or email attachments. Microsoft documents a Google Sheets connector, so an author pastes the sheet address and signs in with a Google account. After that, each tab appears as a table. However, a sheet that people edit freely needs a few rules, or refresh will break.
- Paste the sheet URL
- Google account sign-in
- Rules for shared tabs

How does Power BI Google Sheets integration connect?
The author opens the Google Sheets connector and pastes the address from the browser bar. Then a Google sign-in window appears. Once access is approved, the navigator lists the tabs in that spreadsheet.
The connector imports the data. So the model holds a copy, and a scheduled refresh brings in later edits. Because the sheet lives in the cloud, a standard setup needs no gateway.
One detail matters for the long run. The sign-in belongs to a person, and people leave. Therefore we ask for a shared account that owns reporting connections, so a staff change does not stop the refresh.

Sheet habits that keep refresh healthy
A few conventions make a spreadsheet behave like a dependable source.
One header row
Column names sit in the first row and stay put. As a result, the query always finds the fields it expects.
One table per tab
Notes, totals and side calculations move to another tab. Otherwise stray cells load as data.
Locked column order
People add rows, not columns, on the data tab. So a new idea goes on a separate tab first.
When is a spreadsheet the wrong source?
Sheets are great for small, shared lists. Targets, campaign calendars and mapping tables all fit well. But some sheets have quietly become a business system, with thousands of rows and many editors.
That is where trouble starts. For example, two people sort the same tab at once, or someone pastes text into a number column. Then the report shows a gap, and nobody knows why.
So we give honest advice. A small sheet stays a sheet, with rules. A large one should move to a form, a list or a database. We help with that move when it is in scope, and we explain the reasons either way.
Problems we fix in Power BI Google Sheets integration
These are the issues that bring most sheet-based reports to us.
- Refresh signed in with a former employee's account
- Merged cells in the header row
- Dates typed in several formats
- Numbers stored as text with symbols
- A new tab each month instead of one table
- Formulas that return errors into data cells
How we handle Power BI Google Sheets integration
The work is small but still follows four clear stages with a weekly demo.
List the sheets
First we gather every spreadsheet the reports depend on and note who edits each one.
Agree the scope
Then a written quote names the sheets, the clean-up and the report pages, so the job stays the size you expect.
Clean and connect
We tidy the tabs with their owners, connect them and build the model in your own Microsoft tenant.
Share the rules
Finally, editors get a one-page guide to the sheet rules, because they are the ones who keep refresh alive.
Questions about Google Sheets as a Power BI source
Is there a native Power BI connector for Google Sheets?
Yes. Microsoft lists a Google Sheets connector in the Power Query connector reference. It takes the sheet URL and an organizational Google account, and it supports Import. So you do not need to publish the sheet to the web or export files. Microsoft's page notes current limits, and we review it before each build.
How often can Power BI refresh Google Sheets data?
The model refreshes on the schedule you set in the Power BI service. The number of daily refreshes depends on your license type, and those terms change. Therefore we point you to Microsoft's documentation for the current limits. For most trackers, a few refreshes a day are plenty.
Can we mix Google Workspace data with Microsoft data?
Yes. Some companies run Google Workspace for documents and Microsoft for reporting. A semantic model can hold a sheet beside data from a database or an accounting system. However, the sign-in for the sheet is a Google account, so we plan who owns it and how it stays active.
Do we need to share the sheet publicly?
No, and we advise against it. The connector signs in with a Google account that has access to the file. So the sheet can stay private to your organization. We check the sharing settings during setup, because a public link is an easy mistake to leave behind.
How do we reach Power BI Agency about a sheets project?
