A Power BI project management dashboard for the project team

A Power BI project management dashboard is a live view of a single project: its tasks, milestones, open issues and the workload on each team member. It reads from the tools your team already uses, so nobody retypes progress into slides. The project manager then sees what slips this week and why. Our consultants build the model inside your own Microsoft tenant, and your team owns it afterwards.

  • Tasks and milestones
  • Issues by age
  • Workload by person

What does a Power BI project management dashboard show?

Running a project means answering the same questions every week. Which tasks are late? Which milestone is at risk? Who on the team is overloaded? Usually the answers sit in a plan, an issue log and a timesheet, and the project manager stitches them together by hand.

A live page joins those sources for one project. The top shows the next milestones against their baseline dates. Below it, overdue tasks sit by owner, and open issues sit by age and severity. So the Monday stand-up starts from the same facts for everyone.

Leaders who rank many projects need a different view. For funding, strategic fit and resource conflicts across them, see the Power BI project portfolio dashboard.

What to measure inside a single project

Keep the first page to a few signals, and then let the team drill into the rest.

Milestones against baseline

Show each milestone's baseline date beside its forecast, so slippage gets attention while it is still small.

Issue log by age

List open issues by severity and days open. Then the team sees which ones lack an owner or a next step.

Overdue tasks by owner

Count open, done and overdue tasks by owner and phase, because stalled work hides in long lists.

Team workload

Add up planned hours per person per week from the plan, and also flag anyone booked past capacity.

Project budget burn

Compare spend to date on this project with its planned curve, so an overrun shows up early.

Change requests

Track requested, approved and rejected changes, since scope growth explains many late dates.

Which tools feed project reports in Power BI?

Tasks and dates come from your project tool. Hours come from timesheets, and cost from the finance system. Issues, risks and changes often live in SharePoint lists or Excel logs. Power BI reads SharePoint lists and Excel files directly, which helps a lot here.

Project tools differ widely. Some appear on Microsoft's connector list, and others expose an API or an export. We check your tool by name before we quote. When the plan, the timesheets and the logs sit in separate systems, our power bi data integration services join them on one project and task key.

Workload needs a rule as well. A person may appear on tasks in the plan and also log time elsewhere. Therefore we agree which source counts as planned load and which counts as actual time, and the page shows both.

Mistakes in a Power BI project management dashboard

These errors make a status page look fine while the projects are not.

  • Task owners left blank
  • Baseline dates get overwritten silently
  • Cost data arrives a month behind
  • Issues closed without a resolution note
  • Finished tasks clutter the main view
  • Workload counted from two sources at once

How we build a Power BI project management dashboard

We treat the build as a small project of its own, with a scope, demos and a clear end.

  1. Free project assessment

In thirty minutes we look at your plan, issue log and current status report. Then we outline a first version.

  2. Rules and written scope

We agree task status rules, workload sources and issue fields in writing, so the quote stays fixed.

  3. Pilot on live data

We load your current project first, because a real schedule exposes gaps quickly.

  4. Weekly demos and handover

The project team checks the pages every week. Finally your team receives the files and notes.

Project reporting in Power BI: frequent questions

Does a Power BI project management dashboard replace our project tool?

No. People still plan, assign and update tasks in the project tool. Power BI reads that data and adds issues, workload and cost on top. So the team keeps its familiar workflow. The gain is that status reporting becomes a by-product of normal updates, instead of a separate weekly chore.

Can Power BI show a Gantt view of project milestones?

Power BI does not include a Gantt chart among its core visuals, but Gantt-style visuals exist in the visuals marketplace. A matrix or timeline layout can also show milestones clearly. We pick the option that fits your governance rules on custom visuals. For detailed schedule editing, the project tool remains the right place.

How current is the project dashboard data?

It is as current as the last refresh and the last update by your team. Most teams refresh once or a few times a day. However, stale task updates are the more common issue. So we add a simple view of when each project last changed, which nudges managers to keep plans fresh.

How does the project dashboard show team workload?

It adds planned hours from the task plan for each person and week, then compares them with that person's capacity. Anyone booked past that line shows in red. Where timesheets exist, actual hours sit beside the plan. So the project manager can rebalance tasks before a person burns out or a deadline slips.

Who will we deal with during the build?

You deal with one of our consultants throughout. Power BI Agency is a small division of Sataware Technologies and is independent of Microsoft. We work remotely, inside your own tenant. You approve a written quote first, and then you see a demo every week.
