Power BI for real estate investors, owners and brokers

Power BI for real estate is a reporting layer that shows returns, valuations, operating income and deal flow across a whole portfolio. Owners and asset managers then compare assets on the same terms, while brokers follow their pipeline. Our consultants build it inside your own Microsoft tenant. Because the model refreshes on a schedule, the month-end scramble gets shorter.

  • Returns by asset
  • Valuation trends
  • Acquisition and deal pipeline

What does Power BI for real estate show an owner?

Property data tends to live by building. Each site has its own rent roll, its own budget file and its own manager. So when an owner asks how the whole portfolio is doing, someone has to stitch dozens of files together.

A portfolio model ends that. It holds every property, unit, tenant and lease in linked tables. Then one page shows occupancy and income for all buildings, and a click opens the detail for one. Because the rules are the same everywhere, two properties finally compare fairly.

Investment questions sit on top of that. Which assets return the most on the capital spent? How have values moved since purchase? A model that holds valuations and deal stages beside income answers both. Day-to-day rent collection and maintenance are a different job, covered by power bi for property management.

Portfolio and investment dashboards for owners

Pick the pages that match how the portfolio is run, then add others once the basics hold.

Returns by asset

Net operating income, capital spent and current value combine per asset, so owners see which holdings earn their keep.

Valuations over time

Appraised or internal values trend by asset and fund. Then the team sees how the portfolio has moved since purchase.

Acquisition pipeline

Deals under review, offers and closings follow in stages, so the investment committee sees what is coming.

Operating income

Compare income, operating cost and net operating income against budget for each asset.

Brokerage pipeline

Listings, showings and closed deals group by agent and office. As a result, brokers see where commission will land.

Lease expiry exposure

Income at risk from leases ending each quarter shows by asset, because a large vacancy changes a valuation.

Where does the portfolio data come from?

The main source is usually a property management system, which holds units, tenants, leases and charges. Accounting data may sit in the same product or in a separate ledger. Brokers and leasing teams often add a CRM, while development teams keep budgets in Excel. Valuation reports and acquisition models usually arrive as spreadsheets too.

Some of these systems offer a database or an API, and others only export reports. We check each one during the assessment. When no direct route exists, a scheduled export into a staging area does the job. It is less elegant, but it is dependable.

Address and property codes cause most of the trouble. For example, one system may call a building by its street name and another by a fund code. Therefore we build a single property table first, and every other table links to it. Fund statements for investors also suit power bi financial reporting, which covers the ledger side.

Signs you need Power BI for real estate reporting

These problems grow with each building you add, so they rarely fix themselves.

  • Each property reports in a different format
  • Lease expiries surprise the asset team
  • Investor reports take weeks after quarter end
  • Budget files break when a tab changes
  • Valuations sit in files nobody can compare
  • Nobody trusts the portfolio occupancy figure

How we build Power BI for real estate teams

Four steps take a portfolio from scattered files to a model your team owns.

  1. Portfolio review call

First we look at one asset summary and one investor report with you. The call is free and lasts half an hour.

  2. Scope and quote

Next we write down the pages, sources and property count, so the quote stays fixed.

  3. Build with weekly demos

You watch the model grow each week. When a number looks wrong, we trace it together on the call.

  4. Handover and coaching

Finally we document the measures and coach your analyst, since new properties will need adding later.

Power BI for property investors: your questions

Can Power BI for an investment portfolio hold several funds?

Yes. The model can hold many funds, owners and entities, and row-level security then limits what each person sees. For example, an investor may view only the assets in one fund, while the asset manager sees all of them. We set those rules in the model, so they apply to every report.

Does Power BI for a portfolio replace the system of record?

No. Your property management system stays the place where leases, charges and payments get recorded. Power BI reads from it and adds analysis on top. So think of it as a window onto the data, not a new system of record. That also means nobody has to change how they work day to day.

Can Power BI for an owner plot each asset on a map?

Yes. Power BI includes map visuals that plot properties by address or by latitude and longitude. You can then size or color each point by return, value or occupancy. Clean location data matters, however, so we check addresses during the build and fix the ones that do not resolve.

How often will the property data refresh?

That depends on the source and on your needs. Most portfolios refresh once a day, which suits rent, lease and budget data. If a system sits on your own network, a gateway carries the data to the Power BI service. We agree the schedule with you before we quote.

Who does the work, and where?

Our consultants do it, remotely. Power BI Agency is a small team within Sataware Technologies, and we are independent of Microsoft. We work inside your tenant through guest access, and we do not copy data to our own systems. You also get a reply within 2 hours when you write to us.
