A Power BI trial balance report your controller can tie out
A Power BI trial balance report lists every ledger account with its opening balance, its debits and credits for the period, and its closing balance. It proves that the books balance before anyone prepares statements. Because it sits on a live model, a reviewer can open any account and read the journals behind it. Our consultants build it in your own Microsoft tenant.
- Opening, movement, closing
- Debits equal credits
- Drill to journals

What is a Power BI trial balance report used for?
The trial balance is the oldest check in accounting. It lists each account and its balance, and total debits must equal total credits. When they differ, something posted wrong. So the close starts here.
In most systems the report is a static printout. A reviewer spots an odd balance, then runs a second report to see the entries. After that they run a third to compare with last month. Each step costs minutes, and a close has many of them.
A model joins those steps. The reviewer clicks the account and the journals appear. Then last month's balance sits in the next column, and a large swing stands out without a separate run. For transaction history over many months, such as every posting to one account, the Power BI general ledger report is the better tool.

Columns and checks a reviewer expects on the page
The layout follows the working paper that accountants already know.
Opening balance
The balance carried into the period for each account. For balance sheet accounts it includes all prior years.
Period debits and credits
Movement for the chosen month or range, so the reviewer sees activity as well as the result.
Closing balance
Opening plus movement. Then the same figure feeds the statements, which keeps the two in step.
Balance check
A card shows total debits less total credits. It should read zero, and the page flags it when it does not.
Prior period change
Each account's balance compares with last month or last year, because an unusual swing deserves a look.
Entity and dimension filters
The reader can narrow the list by company, department or project, while the balance check still applies.
How do opening and closing balances work in Power BI?
Ledger tables store movements, not balances. So the model has to add them up. A closing balance is the sum of all postings up to the end of the period. An opening balance is the same sum up to the day before it starts.
Account type changes the rule. Balance sheet accounts accumulate across years. Income and expense accounts reset at the start of each fiscal year, when their result rolls into retained earnings. Therefore the measure checks the account type before it chooses a start date.
A proper date table makes this reliable. Microsoft documents how to mark a date table for time calculations, and we also add your fiscal calendar to it. Some ledgers post year-end closing entries as well. In that case we agree with your controller whether the page includes or excludes them. Once the balances tie out, the same model can feed the statements, which our power bi financial reporting service covers.
Faults that spoil a Power BI trial balance report
These are the usual reasons a first version fails to tie out.
- Resetting balance sheet accounts each year
- Ignoring the fiscal year start month
- Counting year-end closing entries twice
- Dropping accounts that have no movement
- Summing debits and credits with mixed signs
- Filtering by department and breaking the balance
How we build a Power BI trial balance report
Finance checks each stage against the ledger, so trust builds as the work proceeds.
Read the ledger structure
First we study how your system stores postings, account types and closing entries.
Build the balance measures
Next we write the opening, movement and closing measures with your fiscal calendar in mind.
Tie out closed periods
Then we match every account to the system's own report for several months. Any difference gets a cause.
Add drill and handover
Finally we add the journal drillthrough, set access and give your team the notes.
Trial balance reporting in Power BI: questions from accountants
Will the trial balance in Power BI match our accounting system?
It should match to the cent, and we test that. During the build we compare each account with the system's own listing for several closed months. When a line differs, the cause is usually a closing entry or an account type rule. So we fix the rule once in the model, and then every period agrees.
Can I drill from a trial balance line to the journal entries in Power BI?
Yes. Power BI has a drillthrough feature that carries a selected account and period to a detail page. That page lists the entries with date, reference, description and amount. So a reviewer moves from an odd balance to its cause in one click, and then steps back to the list.
Can a Power BI trial balance report cover several entities?
It can. Each posting carries its entity, and a slicer picks one company or several. When entities use different charts, a mapping table aligns them to a group chart. The debit and credit check then runs per entity and in total. Formal consolidation and eliminations still belong in your finance system.
Does it handle a fiscal year that does not start in January?
Yes. The date table holds fiscal year, period and quarter next to calendar dates. Measures use those fiscal columns when they decide where income accounts reset. We also handle calendars with thirteen periods or adjusting periods, as long as the ledger marks them.
