CFO dashboards

A Power BI CFO dashboard that answers the board's first questions

A Power BI CFO dashboard is a single page that shows revenue, margin, operating cost, cash and working capital against plan and last year. It gives a finance chief the state of the business before the close finishes. Each figure opens into the ledger detail behind it, so questions end with an answer. Our consultants build it in your own Microsoft tenant.

  • Cash and runway
  • Margin against plan
  • Working capital trends

What belongs on a Power BI CFO dashboard?

A finance chief answers the same questions every month. Are we on plan? Where did margin move? How much cash do we hold, and how long will it last? The page should answer those first, before any detail.

So the top row carries a handful of headline figures with their gap to plan. Below that, short trend lines show direction. A number alone says little, but a number that has slid for three months says a lot.

Detail comes last and on request. For example, a click on margin opens the product or customer view behind it. That keeps the first screen calm, while the full ledger still sits one step away. For a leadership page that reaches beyond finance, see our executive dashboard in power bi service.

Headline finance measures and what each one tells a chief

Six measures cover most boards, and each one ties back to posted ledger entries.

Revenue against plan

Month and year-to-date revenue sit beside budget and prior year, so the gap has a size and a direction.

Gross margin

Margin shows as an amount and a rate by business line. Then a shift in mix does not pass as a cost problem.

Operating expense

Spend by function meets its budget. As a result, the owner of an overrun is plain.

Cash position

Bank balances, expected receipts and due payments roll into a short outlook, because profit and cash seldom move together.

Working capital

Days of receivables, payables and inventory trend over time, while a rise in any one flags cash at risk.

Forecast to year end

Actuals to date plus the remaining forecast show the likely landing. That also frames the next board talk.

Which data does a CFO view in Power BI draw on?

The general ledger supplies most of it. Budget and forecast come from a planning tool or a workbook. Bank balances, open receivables and open payables come from the accounting system's subledgers. Some firms also add headcount from the HR system.

We shape those sources into a star schema, which Microsoft recommends for Power BI models. Shared tables for date, account and department sit in the middle. So actuals, budget and forecast all filter the same way, even though they arrive at different levels of detail.

Groups with several entities need two more things. First, a mapping from each local chart of accounts to a group chart. Second, a rule for currency and intercompany items. We agree both with your controller before any page takes shape.

Mistakes that weaken a Power BI CFO dashboard

A finance chief stops opening the page when any of these appear.

  • Crowding the first screen with twenty charts
  • Showing figures that differ from the ledger
  • Comparing a part month with a full budget
  • Hiding the refresh date from the reader
  • Mixing management and statutory views unlabeled
  • Leaving cash off a page about performance

How we build a Power BI CFO dashboard

You review a working page every week, so the design follows your real meetings.

  1. Pick the questions

First we list what the chief executive and board ask each month. Those questions set the top row.

  2. Map the accounts

Next we group ledger accounts into reporting lines in a table that finance maintains.

  3. Tie out to the books

Then we compare every headline figure with closed periods. Any gap gets a cause before we move on.

  4. Secure and share

Finally we set access roles, a phone layout and an email subscription for the people who need it.

CFO reporting in Power BI: questions finance leaders ask

How often does a Power BI CFO dashboard update?

As often as the sources and your license allow. Many finance teams refresh each night, so the page shows postings through yesterday. During close, some refresh several times a day. We show the last refresh time on the page, because a reader should always know how current the figures are.

Can a CFO dashboard in Power BI combine several companies?

Yes. The model maps each entity's accounts to one group chart and converts currency with a rate table. Intercompany balances need an agreed rule, so we settle that with your controller. The page then shows the group total and lets you open any single entity. Formal statutory consolidation remains a job for your finance system.

Can the CFO view in Power BI reach the board without a login?

Board members usually receive it in one of two ways. Licensed users can open the report or get it by email subscription. For others, staff export a snapshot to PDF or PowerPoint. We set up whichever route fits your board and your tenant's sharing rules, and we explain the licensing points first.

Will the numbers match our financial statements?

They should, and we prove it. During the build we tie revenue, margin and expense to the ledger for several closed months. When a figure differs, the cause is usually an unmapped account or a late journal. So a small check page lists unmapped accounts, and finance fixes them in the mapping table.
